Executive Assistant to CEO
Role Purpose
Why This Role Exists
This role exists to ensure that the CEO’s decisions, priorities, and actions are translated into clear, tracked execution across the business.
You will do this by capturing every request, meeting outcome, and decision, and converting them into structured actions with ownership, deadlines, and follow-through.
This is a role for someone who thrives on structure, clarity, and accountability, and who takes pride in ensuring that nothing is missed, delayed, or left unresolved. Your success will be measured by how effectively you bring control, visibility, and momentum to the CEO’s workflow and the broader business.
What You’ll Own
CEO Action Closure (Core)
- Capture every CEO request and decision into Zoho
- Assign owners, priorities, and deadlines
- Track tasks to completion and escalate risks early
- Maintain a weekly “open loops” dashboard for the CEO
Deadline Discipline
- Track all executive report deadlines across the business
- Ensure reports are delivered on time and in the correct format
- Escalate risks early when delivery is at risk
Calendar & Time Protection
- Organise and protect the CEO’s calendar
- Batch meetings and reduce reactive scheduling
- Ensure scheduling conflicts and errors are near zero
Meeting Execution
- Prepare agendas and meeting packs
- Capture minutes and action items
- Log and track actions in Zoho within 24 hours
Communication & Inbox Control
- Triage the CEO’s inbox and capture actions
- Draft responses where appropriate
- Ensure no requests remain unresolved outside the tracking system
What Success Looks Like
- CEO actions captured and tracked the same day
- Deadlines across the business consistently met
- Meetings converted into clear actions and follow-ups
- Minimal overdue tasks or missed commitments
- A calm, organised executive workflow with full visibility
Non-Negotiables
- Exceptional organisation and attention to detail
- Strong written communication skills
- Ability to enforce deadlines and follow-ups professionally
- High discretion and maturity when handling sensitive information
- Strong systems discipline and documentation habits
Preferred Experience
- Experience supporting a CEO or senior executive
- Experience using Zoho Desk or similar ticket/task systems
- Experience running meeting cadences, action trackers, or executive reporting systems
