Job Summary
BOUTIQUE HOTEL RESERVATION & ADMINISTRATIVE MANAGER, CAPE TOWN We are seeking a detail-oriented and highly organized Reservation & Administrative Manager to oversee reservations, front office administration, reporting and financial controls. This role combines reservations management with strong administrative and financial oversight to ensure smooth daily operations, accurate revenue tracking, and consistent service excellence within a boutique luxury environment. You will support multiple departments to ensure seamless day-to-day operations and exceptional guest satisfaction. A high level of flexibility, initiative, attention to detail, and a service-oriented mindset are essential for success in this role. This is not a standard 9–5 position. While regular on-site hours are scheduled during weekdays, flexibility is required. You will be expected to attend to additional off-site and after-hours operational matters, including guest enquiries, to ensure the uninterrupted functioning of the hotel. Role Overview Main Duties & Responsibilities (Including but not limited to the following) Reservations & Guest Communication • Manage all reservation enquiries via telephone and email • Prepare and issue accurate quotations and booking confirmations • Capture reservation details, billing instructions, and payment terms with precision • Monitor room availability, rates, and occupancy levels • Oversee arrival and departure procedures • Reconcile reservations against payments received • Assist with guest service where required, including serving guests, taking orders, clearing tables, and preparing hot and cold beverages Administration & Reporting • Prepare daily, weekly, and monthly operational and financial reports • Compile occupancy, revenue, and performance reports for management • Maintain accurate guest, billing, and reservation records • Ensure compliance with internal administrative procedures Financial Controls & Banking • Perform daily banking reconciliations • Accurately post and allocate payments to relevant guest and debtor accounts • Monitor outstanding accounts and follow up on debtor payments • Process invoices, statements, and account queries accurately • Assist with month-end reporting and financial administration General Performance Expectations • Accuracy, Financial & Stock Integrity: Exercise meticulous attention to detail in reporting, reconciliations, account management, and stock control to safeguard revenue integrity and support sound financial and operational oversight. • Leadership & Professionalism: Act as a role model within the team, demonstrating integrity, accountability, and a calm, solution focused approach. • Guest Satisfaction: Maintain consistently high guest feedback scores and ensure that concerns are addressed promptly and effectively. • Operational Standards: Uphold five-star presentation, service, health, and safety standards across all departments. • Team Collaboration: Foster strong working relationships with colleagues, offering guidance and support while promoting teamwork and a positive working environment. Candidate Profile • Previous experience in reservations, front office, or hotel administration preferred • Strong administrative and financial acumen — account management and/or bookkeeping experience ideal • Excellent numerical accuracy and attention to detail • Strong organisational and reporting skills • Proficient in Microsoft Office (especially Excel) as well as Nightsbridge • Professional, well-presented, and confident communicator • Ability to work flexible hours, including weekends and public holidays • Proactive, adaptable, and service-driven You will be part of a small, dedicated team where your contribution truly matters.
