S3 Team Lead (Manager) — Projects, Automation & Cloud Delivery
Role Purpose
Why S3 Exists
S3 exists to deliver high-value change work that makes clients stronger:
- Projects (infrastructure upgrades, migrations, implementations)
- Cloud adoption and optimisation
- Automation that reduces admin and boosts performance
- Standardised delivery that scales without chaos
You turn “big work” into predictable, profitable delivery.
90-Day Mission
Definition of Done
By Day 90, S3 runs like a delivery machine:
- Scoping is clean, approvals are tight, change control is real
- Project plans and templates are standardised and used
- Delivery is on time/on scope with measurable outcomes
- Handovers are complete and documented
- Repeat rework is reduced through SOPs and QA
- Scoreboards are visible weekly and drive improvement
Primary Outcomes
What Success Looks Like
Delivery
- Projects delivered predictably (time, scope, quality)
- Reduced rework and post-project issues
- Clear project comms and stakeholder management
Automation Outcomes
- Automations shipped that save measurable time/cost
- Adoption and handover completed (not “built and forgotten”)
Quality & Standards
- Documentation is complete (runbooks, diagrams, configs, user guides)
- SOP compliance is consistent and audited
Commercial
- Scope control prevents free work
- Clean BOM/scope handoffs to BU Sales Consultant for quoting/invoicing
- Billable capture is accurate and timely
Key Responsibilities
Project Delivery Leadership (Core)
- Own the S3 project pipeline: prioritisation, resource planning, delivery cadence
- Ensure every project has: scope, plan, timeline, risks, comms plan, sign-off criteria
- Drive weekly project reviews and unblock delivery
- Ensure change control and rollback planning for risky work
- Manage stakeholder expectations and client communication standards
Scoping and Handoff Discipline (Core)
- Produce clean technical scope and BOMs (no ambiguity)
- Ensure scope is approved before work begins
- Prevent scope creep by enforcing change requests and approvals
- Deliver crisp handoffs to BU Sales Consultant for quote → procurement → invoicing
Automation and Cloud Delivery (Core)
- Own cloud and automation standards (templates, naming, permissions, security)
- Ensure automations are reliable, monitored where needed, and documented
- Ensure client adoption: training, guides, handover, success criteria
- Track and report outcomes (time saved, reduced manual work, improved process)
Quality Assurance and Documentation (Non-Negotiable)
- Build/maintain SOPs for recurring project types and automations
- Implement QA gates: peer review, testing, sign-off checklists
- Ensure documentation is complete before project closure
- Build and maintain reusable project templates and runbooks
People Leadership
- Set clear roles, ownership, and expectations for S3 team members
- Run weekly 1:1s and performance development plans
- Coach delivery discipline, documentation habits, and client comms
- Hire/interview input where needed
Cross-BU Collaboration (Decentralised Command)
- Coordinate with S1/S2 on dependencies and handovers
- Ensure S3 work does not break operations (handover discipline)
- Work with embedded BU Sales Consultant to ensure commercial execution is clean
KPIs / Scorecard
Weekly + Monthly
Delivery Performance
- Projects delivered on time (%)
- Projects delivered on scope (%)
- Rework rate (post-project tickets/incidents attributable to delivery)
- Change failure rate (changes causing incidents)
- Project cycle time (scope → delivery → sign-off)
Quality & Documentation
- Documentation completeness score (runbooks, diagrams, configs, user guides)
- SOP compliance audit score
- QA pass rate (peer review/testing/checklists)
- Client sign-off rate without rework
Automation Outcomes
- Automations shipped per month (by priority)
- Adoption completed (% with training/handover)
- Measurable impact reported (hours saved, process steps removed)
Commercial / Billable Capture
- Scope/BOM handoff quality score to BU Sales Consultant
- Missed billing incidents due to poor scope/handoff (target: zero)
- Project GP variance (quoted vs delivered vs invoiced) within threshold
Non-Negotiables
Behavioural Rules
- No project starts without scope and approval
- No project closes without documentation and handover
- No hero culture: systems and templates beat memory
- Scope creep is managed through change control, not goodwill
- Reporting is factual and scoreboard-driven
