Job Summary
Summary:
We are seeking a highly organized and detail-oriented National Event Administrator to support the coordination and execution of large-scale events across multiple regions. The successful candidate will act as a central point of contact for national teams and clients, ensuring seamless communication, efficient stock management, and accurate reporting. This role requires strong administrative skills, the ability to manage multiple priorities, and experience working with event logistics and systems such as Magento.
Key Responsibilities:
- Handle and resolve national queries for National and Brand Teams
- Manage and compile stock reconciliations for large-scale events
- Provide accurate stock and costing information to the Finance department
- Oversee client-side approval processes for cost estimates (CE)
- Coordinate stock requisitions and returns with internal teams and depots
- Monitor and report on stock shortages and damages from events
- Maintain and track damaged stock nationally, including refurbishments and disposals
- Ensure all national queries logged in ticketing systems are addressed promptly
- Provide Magento system support, including user access, order editing, and cancellations
- Handle urgent same-day client orders and related communications
- Manage the Magento back-end Event Booking Log and large pending orders
- Conduct system training for new client staff on Magento and OF reporting
- Assist clients with account switching and order-related queries
- Coordinate weekend site availability requests and communicate schedules to relevant teams
- Support operations in tracking late-returned stock impacting availability
- Prepare and extract high-level reports for the National Team, including event forecasts and stock tracking
- Maintain oversight of stock locations across agencies and ensure alignment with client requirements
- Participate in weekly meetings and provide ad hoc administrative support to the National Events Team
Requirements:
- Proven experience in event administration or coordination (national/multi-site experience advantageous)
- Strong understanding of stock control, reconciliation, and reporting processes
- Experience working with systems such as Magento (or similar platforms)
- Excellent organizational, communication, and problem-solving skills
- Ability to work under pressure and manage multiple deadlines
- High attention to detail and accuracy
- Proficient in Microsoft Office (Excel, Word, Outlook)
