Key Responsibilities Group Reservations Management
- Manage all group bookings from initial enquiry through to confirmation within required timeframes
- Ensure accuracy of all reservations, including rates, allocations, and booking details
- Proactively follow up on quotations, provisional bookings, and confirmations
- Ensure timely collection of deposits, payments, and rooming lists
- Handle amendments, cancellations, and special requests efficiently
Revenue Optimisation
- Monitor room availability and booking trends to maximise occupancy and revenue
- Assist in achieving monthly and annual revenue targets
- Apply revenue management principles in pricing, allocation, and booking strategies
- Identify upselling and cross-selling opportunities within group bookings
Client & Agent Relationship Management
- Build and maintain strong relationships with travel agents, corporate clients, and group organisers
- Act as a key point of contact for all group-related queries
- Deliver professional, timely, and solution-focused communication
Systems, Reporting & Administration
- Maintain accurate and up-to-date records within PMS and reporting systems
- Generate and analyse reports on group bookings, revenue, and trends
- Provide insights and recommendations based on data analysis
Operational Coordination
- Liaise with Sales, Front Office, and Operations teams to ensure seamless group arrivals and departures
- Attend interdepartmental meetings to align on group movements and requirements
- Ensure all operational details are clearly communicated and executed
Team Leadership & Development
- Train, mentor, and support junior reservationists
- Provide technical guidance on systems and processes
- Assist in distributing group enquiries fairly across the team
- Manage escalated queries and complex bookings
Process Improvement
- Identify inefficiencies within the reservations process
- Recommend and implement system and workflow improvements
- Contribute to training initiatives and continuous improvement projects
Minimum Requirements
- Matric Certificate
- Diploma or Degree in Hotel Management or related field
- 3–5 years’ experience in a 4/5-star hotel reservations environment
- Minimum 2 years’ experience managing group bookings, tour series, or event blocks in a senior capacity
- Strong understanding of revenue management principles
- Proficient in MS Office
- Experience with Opera V5.6 and Opera Cloud
- Knowledge of distribution systems
- Basic accounting understanding
