PURPOSE OF THE ROLE
The Talent Pipeline Co-ordinator serves as the operational backbone of redAcademy’s applicant pipeline and academic administration, ensuring a smooth, structured, and compliant journey from application through screening, scheduling, and selection outcomes.
This role ensures that all applicant and learner documentation is completed accurately, timeously, and in full; that applicants remain supported and engaged throughout the selection and onboarding stages; and that internal teams and external stakeholders receive complete and compliant academic documentation.
With exceptional organisational ability, attention to detail, and a passion for youth development, the Talent Pipeline Co-ordinator strengthens academic excellence through structured administration, clear communication, and meticulous quality assurance across all programmes.
KEY RESPONSIBILITIES
1. Applicant Pipeline Operations & Candidate Administration
- Own and manage the end-to-end applicant pipeline administration, ensuring accurate and timely processing of applications and supporting documents.
- Maintain clean, up-to-date records of applicant progress, evidence received (e.g., videos), screening results, and interview schedules.
- Ensure consistent applicant communication across stages (acknowledgements, outcomes, next steps).
2. Screening, Scheduling & Selection Support
- Serve as the primary point of contact for applicants before interview scheduling through to final selection outcomes.
- Screen applicants fairly against defined criteria and progress eligible candidates to interview scheduling.
- Coordinate interview scheduling and logistics with internal teams and relevant stakeholders.
- Track pipeline quality outcomes and ensure the interviewed cohort aligns to client shortlisting expectations
3. Academic Administration & Programme Operations
- Maintain all academic documentation, including registers, learner files, and QCTO-aligned materials.
- Ensure all regulatory, learner, and programme documentation is completed, quality-checked, and stored timeously and accurately.
4. Reporting, Compliance & Quality Assurance
- Compile and submit accurate reports to management on pre-defined weekly, monthly, and termly cycles during active intake periods.
- Track milestones and pipeline performance, flagging risks early and maintaining full visibility of applicant and learner administration.
- Support internal and external moderation processes and ensure alignment to QCTO, SETA, and internal quality standards.
- Prepare documentation and evidence packs for SETA site visits, QCTO verifications, and audits.
- Maintain compliance across all learner files, assessment records, and programme documentation.
5. Even Support
- Provide operational support in planning and delivering academic events such as Open Days, Demo Days, School Activations and Graduations (±4 per year).
Note: Certain events may take place on Saturdays or evenings.
6. Operational Excellence & Process Improvement
- Continuously refine pipeline and academic administration processes to increase efficiency and improve learner and client experience.
- Uphold redAcademy’s delivery standards and contribute to strengthening administrative workflows.
- Monitor capacity, resource requirements, and key delivery indicators, ensuring proactive resolution of bottlenecks.
SKILLS/COMPETENCIES
Mandatory Technical Skills / Abilities required to do the Job
- Strong proficiency in Microsoft Office (Excel, Word, PowerPoint)
- Ability to manage academic and applicant data across multiple programmes/ clients with high accuracy and attention to detail.

MINIMUM REQUIREMENTS
- Minimum: Diploma of Higher Certificate in Administration, Education, Business Management, or a related field.
- 2-4 years’ administrative experience in an academic, training or SETA- regulated environment.
- Experience with QCTO qualifications and SETA processes (highly beneficial).
- Proven track record in learner support, learner support, client service or stakeholder management.
