Job Summary
Delaire Graff Lodges & Spa is looking for a Guest Liaison to join their team. The candidate will be responsible for assisting in creating a seamless guest experience. The role of the Guest Liaison is admin focused, and involves pre planning and compiling bespoke itineraries prior to the guest’s arrival. Direct contact with guests would be required (as needed). The Guest Liaison will also be requested to assist with Lodge Reservations duties.
Responsibilities:
- Ensure all incoming emails, reservations messages are dealt with promptly and accurately, and within a 2-hour response time.
- Assist lodge guests with reserving restaurants, tours, transfers
- To be fully conversant with all hotel rates, including rack, special offers and contracted.
- Ensure that bookings for each day are checked prior to arrival for accuracy and confirmations.
- Ensure guest history files are used and utilized correctly.
- Ensure all Special Attention Guests requests are dealt with accurately, and that every effort is taken to ensure they receive the appropriate service.
- Prepare and manage the arrival responsibility. Send out communication to all departments each morning by no later than 10h00.
- Prepare booking notes in a two-week cycle, ensure all memo notes are up to date with relevant information.
Requirements:
- Qualification in Hospitality, Travel, Tourism will be preferred
- Preferably 2 - 3 years experience in concierge and reservations
- Knowledge of PMS systems
- Computer literate, knowledge of MS Outlook, Word and Excel is essential
- Proficiency in English; knowledge of additional languages is an advantage
- Comfortable in dealing with very distinguished clientele
