ADMINISTRATIVE ASSISTANT

Midvaal Recruitment is recruiting on behalf of a well-established and growing company operating within the water treatment, food, and beverage industries. The company supplies specialised products and solutions to industrial and commercial clients across South Africa and is seeking a detail-oriented and customer-focused Administrative Assistant to join their Gauteng Branch in Vereeniging.
This is an excellent opportunity for an organised individual who enjoys administration, customer service, stock coordination, and working in a fast-paced operational environment.
Minimum Requirements
- 1–3 years' administrative experience
- Computer literate with proficiency in:
- Microsoft Word
- Microsoft Excel
- Microsoft Outlook
- Strong communication skills in both Afrikaans and English
- Excellent attention to detail and accuracy
- Strong organisational and time management skills
- Ability to work independently and as part of a team
- Previous experience within manufacturing, chemical, industrial, water treatment, food, or beverage sectors will be advantageous but is not essential
Key ResponsibilitiesCustomer Order Management
- Receive and process customer orders accurately and efficiently
- Prepare warehouse picking slips and supporting order documentation
- Process invoices and maintain accurate order records
- Communicate with customers regarding order status and product availability
- Resolve customer queries and escalate matters where required
- Maintain accurate customer files and documentation
Warehouse & Stock Coordination
- Liaise with warehouse personnel regarding stock availability
- Assist in maintaining accurate stock records
- Monitor stock levels and report shortages
- Ensure warehouse documentation is completed and filed correctly
- Assist with stock counts and reconciliations when required
Collections & Deliveries
- Coordinate customer collections and deliveries
- Liaise with courier companies and transport providers
- Prepare delivery notes, invoices, and waybills
- Track collections and deliveries to ensure efficient service
- Follow up on outstanding collection and delivery queries
Customer Service
- Respond professionally to customer enquiries
- Assist with pricing requests, stock availability checks, and quotations
- Build and maintain strong customer relationships
- Deliver excellent customer service at all times
Financial Administration
- Manage branch petty cash and supporting records
- Assist with monthly costing reports and spreadsheets
- Process and maintain COD customer accounts
- Ensure invoicing is completed accurately and timeously
General Administration
- Maintain electronic and manual filing systems
- Prepare reports for management
- Support branch administration and office management functions
- Assist with general administrative duties as required
Package
- Salary: R8,000 – R13,000 per month (dependent on experience)
- Medical insurance benefit after successful completion of the 3-month probation period
Working Hours
Monday to Friday
07:00 – 16:00
Reporting Structure
Reports directly to the Branch Manager and Administrative Manager.
