We are seeking a Compliance Assistant. The compliance Assistant provides administrative support to the compliance team, ensuring that all compliance activities are executed with precision and efficiency. This role demands high computer literacy, flexibility, the ability to multitask effectively and a quick, accurate working style. Candidates must have prior experience in administration, a compliance-related field and previously worked with Fast-Moving Consumer Goods (FMCG).
KEY RESPONSIBILITIES:
Assist in ensuring regulatory compliance with international trade regulations, food safety regulations, including export control laws, customs regulations, and trade sanctions.
Review and verify export documentation, including invoices, packing lists, certificates of origin, and shipping records.
Conduct screening of customers, suppliers, and transactions against restricted and denied party lists.
Support the implementation of compliance policies and procedures to mitigate risks.
Maintaining accurate, up-to-date documentation for audit purposes and tracking non-conformances.
Assist in training employees on compliance policies and procedures.
Monitor updates to export regulations and communicate relevant changes to the team.
Coordinate with internal departments (sales, logistics, finance) to ensure compliance at all levels of the export process.
Assist in responding to compliance-related inquiries from government agencies and external auditors.
Support investigations into any compliance violations or discrepancies.
Review and verify food product labels against applicable regulations for destination countries.
Validate ingredient listings, allergen declarations, nutritional panels, claims, barcodes, batch coding, and country-of-origin information.
Ensure translations meet regulatory accuracy requirements where applicable.
Prepare and maintain accurate product specification sheets.
Assist in compiling export compliance documentation required by authorities and customers.
Work closely with Procurement, Marketing, and Sales to ensure accurate product information flow.
Skills/ Requirements:
A degree or diploma in food science, microbiology, chemistry, or related field is often preferred.
2–4 years’ experience in food compliance, labelling, or quality control (preferably within exports).
Strong understanding of HACCP, food safety principles, hygiene, and GMPs
Knowledge of export compliance regulation is preferred.
Strong attention to detail, proficiency in audit processes, and knowledge of legal requirements for food safety
Ability to handle confidential information with integrity.
Excellent communication and teamwork skills.
Proficiency in Microsoft Office (Word, Excel, Outlook) and compliance screening tools.
