Purpose of the Position

The client is modernising its internal operational systems and requires a hands-on specialist to develop, implement and roll out the new solutions across the business.

The successful candidate will replace an existing Microsoft Access system, continue development of the company's Supabase-based operational platform, migrate data, test and deploy the solutions, and train employees to use them effectively.

This is an implementation-focused role. Success will be measured by working systems that are adopted by users, supported by reliable data and properly documented.

1 Key Responsibilities

Legacy System Replacement

Assess the existing Microsoft Access system and replace it with a modern SQL-based or cloud-based solution. This will include:

• Reviewing the current databases, forms, queries, reports and business logic.

• Documenting existing workflows and identifying processes that should be improved.

• Designing the replacement database and application architecture.

• Cleaning, mapping, migrating and validating historical data.

• Rebuilding the required workflows, forms, reports and dashboards.

• Implementing suitable security, access control, backup and recovery measures.

Operational Platform Development

Continue development of the company's operational platform using Supabase and modern AI-assisted or Vibe Coding tools. Priority modules include:

• Inventory and warehouse management, including receiving, serialised stock, locations, transfers, picking,

delivery, returns and barcode functionality.

• Asset management, including customer asset identifiers, serial numbers, locations, warranties, movements,

swap-outs, repairs and lifecycle history.

• Technical job management, including allocation, scheduling, site attendance, work records, photos, stock

usage, configuration details, customer sign-off and reporting.

• Additional operational modules and workflows agreed during the contract period.

Database and Application Development

• Develop and maintain Supabase, PostgreSQL and SQL database structures.

• Create appropriate relationships, views, functions, validations and audit trails.

• Implement authentication, role-based permissions and row-level security.

• Develop or integrate APIs where required.

• Use Git or GitHub to manage source code and changes.

• Apply sound architecture, security, testing and coding standards when using AI-assisted development tools.

2 Business Process and Solution Design

Work directly with management and operational staff to understand requirements and convert them into practical system functionality. The candidate will map workflows, identify opportunities for automation, build prototypes, obtain user feedback and refine the solution into production-ready functionality.

3 Testing Implementation and Rollout

• Complete functional, data, workflow, permission, mobile and desktop testing.

• Coordinate user acceptance testing and resolve defects before deployment.

• Prepare implementation plans and migrate the required operational data.

• Set up users and permissions and roll out modules to the relevant departments.

• Monitor adoption, resolve initial issues and improve the system from user feedback.

• Retire the old system when the replacement is stable and approved.

A module will only be regarded as delivered once it has been tested, accepted, deployed and adopted by the business.

4 Training and Documentation

• Prepare user guides, quick-reference material and training content.

• Train employees, key users and system administrators.

• Provide initial support after implementation.

• Document the system architecture, database structure, business rules, permissions, integrations,

deployment process and backup procedures.

• Maintain complete and current source-code repositories and administrator documentation.

All source code, database structures, documentation and related intellectual property developed as part of the employment relationship will belong to the company, subject to the employment agreement.

5 Required Experience and Skills

• Practical SQL, PostgreSQL and relational database design experience.

• Experience with Supabase or a comparable cloud backend platform.

• Web application development and API integration experience.

• Experience migrating data from Microsoft Access or similar legacy systems.

• Practical experience with AI-assisted or Vibe Coding tools such as Lovable, Cursor, Claude Code, GitHub

Copilot or ChatGPT.

• Experience with authentication, permissions, testing, deployment and reporting.

• Strong business-process analysis, communication and user-training skills.

Experience developing inventory, warehouse, asset-management, field-service, job-management or ERP- related solutions will be highly advantageous.

6 Portfolio Requirement

Applicants must present examples of systems they have personally developed or substantially contributed to. They should be able to explain their role, the tools and database architecture used, the challenges addressed, how the system was deployed and how users work with it.

Where confidentiality prevents a live demonstration, the applicant should provide alternative evidence that clearly demonstrates their capability.

8 Remuneration

The maximum salary is R50,000 per month, consisting of a fixed portion and a performance-based portion.

9 Initial 6 Month Priorities

Discovery and Architecture

Review the legacy system, current platform, data and operational priorities and finalise the architecture and delivery roadmap.

Legacy Migration

Build the replacement for the Microsoft Access solution and migrate the required information.

Core Modules

Complete the priority inventory, warehouse, asset and technical job functionality.

Testing and Rollout

Complete user acceptance testing, deploy approved modules and monitor adoption.

Training and Handover

Train users and administrators and complete the technical, operational and user documentation.

10 Success Measure

Success will be measured by the delivery of secure, reliable and documented operational systems that are implemented on time and used effectively by employees in their day-to-day work.
