JOB DESCRIPTION HOTEL SALES EXECUTIVE Department: Sales & Marketing Position: Sales Executive Reports To: Sales Manager / Cluster Sales Manager Location: [Hotel / Property] Employment Type: Full-Time 1. POSITION PURPOSE The Sales Executive is responsible for driving revenue and business growth for the hotel by actively identifying, developing and maintaining relationships with existing and prospective clients. The position will focus on generating business across accommodation; conferences, meetings, events, weddings, food & beverage and other hotel revenue streams ; while ensuring that all sales activities are aligned with the hotel's commercial strategy and brand standards. The Sales Executive is expected to be highly visible in the market, build strong client relationships, conduct proactive sales activities and convert opportunities into confirmed business. 2. KEY RESPONSIBILITIES A. Sales & Business Development Actively prospect for new business opportunities within the hotel's target markets. Develop and maintain a strong database of corporate, government, travel trade, PCO, DMC, leisure and local business clients. Conduct regular sales calls, client visits, presentations and networking activities. Identify potential new accounts and develop strategies to convert them into active clients. Promote the hotel's accommodation, conference facilities, events, weddings, restaurant, bar and other revenue-generating facilities. Generate leads through telephone calls, email campaigns, networking, referrals, industry events and personal contacts. Follow up on all leads and enquiries promptly and professionally. Maintain a healthy sales pipeline and ensure opportunities are followed through to conversion. Achieve agreed monthly and annual sales targets. B. Corporate & Business Travel Develop relationships with local and national corporate companies. Identify companies with regular accommodation and conferencing requirements. Negotiate corporate rates within approved parameters. Secure corporate accommodation agreements and preferred supplier status. Monitor production from contracted accounts and identify opportunities to increase room nights and revenue. Maintain regular contact with key decision-makers within corporate accounts. C. Conferences, Events & Meetings Proactively sell the hotel's conference and meeting facilities. Target companies, government departments, associations, PCOs, event companies and other organisations requiring meeting facilities. Respond to conference and event enquiries and prepare proposals and quotations. Conduct site inspections for prospective clients. Follow up quotations and proposals to maximise conversion. Work closely with Conference & Banqueting and Operations teams to ensure client requirements are understood and delivered. Identify opportunities to upsell accommodation, catering, equipment, venue upgrades and other services. D. Weddings & Social Events Promote the hotel as a wedding and social-event venue. Build relationships with wedding planners, event organisers, photographers, decorators and other relevant suppliers. Conduct venue inspections and client consultations. Prepare proposals and quotations. Follow up leads and enquiries and convert opportunities into confirmed bookings. Ensure all confirmed event information is communicated accurately to the relevant operational departments. E. Travel Trade & Industry Relationships Develop relationships with travel agents, tour operators, DMCs, PCOs and other travel industry partners. Participate in trade shows, networking events, sales missions and industry functions where appropriate. Identify opportunities for group bookings, leisure packages and tour series. Maintain strong relationships with key industry partners and monitor production. 3. ACCOUNT MANAGEMENT Maintain regular contact with existing clients. Conduct account reviews and identify additional revenue opportunities. Monitor client production against agreed targets. Ensure client concerns and complaints are addressed promptly. Develop long-term relationships with key accounts. Maintain accurate and up-to-date client information in the hotel's CRM or sales system. Ensure all client interactions and sales activities are recorded. 4. SALES CALLING & MARKET COVERAGE The Sales Executive must maintain a structured weekly sales activity plan, including: Face-to-face sales calls. Telephone sales calls. Client presentations. Property/site inspections. Networking events. Corporate visits. Industry meetings. Sales blitzes. Database development. Lead generation. Follow-ups on quotations and proposals. A minimum agreed number of weekly sales activities must be maintained and reported to the Sales Manager. 5. QUOTATIONS & CONTRACTS Prepare professional quotations and proposals in line with approved rates and commercial guidelines. Ensure all quotations are accurate and commercially viable. Obtain the necessary approvals for special rates, discounts or concessions. Follow up outstanding quotations within agreed timelines. Ensure signed contracts and supporting documentation are correctly completed and filed. Communicate confirmed business to the relevant hotel departments. 6. REVENUE & COMMERCIAL RESPONSIBILITY Understand the hotel's rate structure, market positioning and revenue strategy. Sell available inventory responsibly and at the best possible rate. Avoid unnecessary discounting and protect the hotel's ADR and profitability. Identify opportunities for upselling and cross-selling. Work closely with Revenue Management to understand occupancy, demand periods, restrictions and opportunities. Promote need periods and strategic packages. Monitor competitor activity, rates, promotions and market trends. Provide feedback to management regarding market conditions and competitor activity. 7. MARKETING SUPPORT Support the Sales & Marketing strategy of the hotel. Assist with promotional campaigns and sales initiatives. Provide relevant market intelligence to management. Participate in hotel open days, exhibitions, roadshows and promotional events. Assist with social media and digital marketing initiatives where required. Identify opportunities for partnerships and cross-promotional activities. Ensure the hotel is consistently represented professionally in the marketplace. 8. INTERNAL COMMUNICATION & TEAMWORK Maintain excellent communication with Front Office, Reservations, Revenue, F&B, Conference & Banqueting and Operations. Ensure all confirmed business is communicated accurately and timeously. Attend sales and operational meetings as required. Work closely with the reservations team to maximise conversion of enquiries. Assist operations in understanding client expectations and special requirements. Ensure smooth handover of business from sales to operations. 9. REPORTING The Sales Executive is responsible for maintaining accurate and timely sales reports, including: Daily sales activity reports. Weekly sales call reports. Monthly sales reports. Sales pipeline reports. Lead and conversion reports. Account production reports. Lost business reports. Competitor activity reports. Corporate account production. Conference and event leads. Sales forecasts. All reports must be accurate, submitted on time and provide meaningful commercial information. 10. CUSTOMER SERVICE Deliver exceptional service to all clients and potential clients. Maintain professional communication at all times. Respond to enquiries promptly. Understand client requirements and provide appropriate solutions. Resolve sales-related concerns professionally. Build trust and long-term relationships with clients. Act as a positive ambassador for the hotel and brand. 11. KEY PERFORMANCE INDICATORS (KPIs) Performance will be measured against agreed targets, including: Revenue Monthly accommodation revenue generated. Conference and events revenue. F&B/event revenue where applicable. Total sales revenue against budget. Business Development Number of new accounts opened. Number of new corporate agreements. New business generated. Commercial Performance ADR achieved. Room-night production. Conference/event conversion. Revenue generated from need periods. 12. QUALIFICATIONS & EXPERIENCE Minimum Requirements: Grade 12 / Matric. Diploma or degree in Sales, Marketing, Hospitality Management or a related field is advantageous. Minimum 2–3 years' experience in hotel sales, hospitality sales or a related B2B sales environment. Previous hotel sales experience is strongly preferred. Proven track record of achieving sales targets. Experience with corporate, conference, events and/or travel trade sales is advantageous. Valid driver's licence and own reliable vehicle preferred/required depending on the property. 13. KNOWLEDGE & SKILLS The successful candidate should demonstrate: Strong sales and negotiation skills.
