An opportunity exists for a highly organised and motivated Sales Administrator / Secretary to join a busy sales support team. The successful candidate will initially support two experienced Sales Secretaries, with the intention of growing into a senior Sales Office Administrator role over time.
This position is ideal for someone seeking long-term career growth within sales administration and office management, with succession planning into a senior leadership support function over the next 5–15 years.
Key Responsibilities
The role will evolve over time, but will include (and is not limited to):
- Providing comprehensive administrative support to the sales team and Sales Engineers
- Taking minutes during meetings and distributing accurate records
- Preparing quotations and supporting tender submission processes
- Processing invoices and related documentation
- Coordinating transport and shipping logistics
- Managing diaries, schedules, and appointments
- Handling client and internal queries efficiently and professionally
- Ordering parts, stock, and managing procurement-related administration
- Tracking production timelines and delivery deadlines
- Assisting with problem-solving around delays, logistics issues, and exceptions
- Supporting overall sales office operations and workflow efficiency
Minimum Requirements
- Tertiary qualification in Business Administration, Sales, Project Management, Logistics, or related field (from a recognised institution)
- Minimum of 5 years’ experience in a sales support / office administration environment
- Strong Microsoft Office skills (advanced Excel and Word essential)
- Advanced proficiency in Microsoft Project (non-negotiable)
- Experience in creating and maintaining production bar charts / project schedules
- Solid understanding of sales administration processes (quotations, invoicing, tenders, logistics coordination, etc.)
- Strong communication skills in English; Afrikaans advantageous
- Excellent attention to detail and strong organisational ability
- Ability to work under pressure and manage multiple priorities
