We are seeking a dedicated Operations Co-ordinator to streamline maintenance processes, coordinate multiple contractors, and ensure compliance standards are consistently met. Duties:
Receive and process maintenance requests, creating detailed job cards for each task
Coordinate with contractors to obtain quotations, attend to emergency repairs, and oversee maintenance activities
Issue material requests and work orders to maintenance teams, ensuring timely execution
Monitor progress of maintenance work, providing regular updates to tenants and internal stakeholders
Document work completion with photographs and support records for audit purposes
Follow up with contractors and maintenance teams to meet agreed timeframes
Obtain quotations in accordance with procurement procedures and prepare purchase order requests for approval
Issue approved purchase orders to contractors and suppliers
Process supplier invoices, submit documentation for payments, and follow up on outstanding invoices
Assist in monthly recoveries related to labour and materials
Coordinate scheduled Occupational Health and Safety compliance services, including servicing of fire equipment, air conditioning, generators, and other systems
Ensure compliance documentation such as Certificates of Compliance (CoCs) and inspection reports are accurately maintained and uploaded to internal systems
Maintain recurring maintenance schedules, job card records, and operational databases
Coordinate the ordering of cleaning materials and PPE, and assist with staff leave scheduling to ensure site coverage
Provide regular operational updates to relevant stakeholders
Requirements:
2 to 4 years of relevant experience in property maintenance or administration
Strong coordination and administrative skills
Proficiency in Microsoft Office suite
Excellent telephone etiquette and communication skills
Knowledge of property maintenance and administration processes
Familiarity with the following:
Computerised maintenance management systems (CMMS)
Occupational Health and Safety compliance standards
Procurement procedures and supplier management
