About our client:
We are on the lookout for a proactive and detail-driven Project & Operations Director to support our growing creative agency. This is a hybrid role combining hands-on project management for client work and operations leadership, aimed at helping us scale smartly and sustainably.
We're a small, senior team building high-impact brand and digital experiences for ambitious B2B clients across the UK, EU, and the US, working with independent creative freelancers and digital contractors. Projects typically range from brand identity design and website development to ongoing creative retainers. Currently, we have the capacity to meet all client obligations and progress internal initiatives, but we’re looking for someone to take over coordination, bring operational structure, and eventually lead dedicated project and ops teams as we grow.
Your Role at a Glance
This is a hands-on, split-focus role with two key areas of responsibility:
1. Project Management – Client Work (70-80%)
You’ll lead the end-to-end delivery of creative projects — from briefing and planning through execution and launch — ensuring timelines, budgets, and quality standards are met across multiple accounts.
What you'll do:
• Manage 1–3 concurrent website projects per month
• Manage fulfilment of 2–3 ongoing creative/design retainers for key B2B clients
• Brief and coordinate small remote teams (2-6 people per team) across various creative disciplines
• Schedule and lead client meetings across UK, EU, and US time zones
• Prepare and maintain project scopes, timelines, and budgets
• Implement and run projects using a mix of agile, waterfall, and “agency agile” sprint workflows
• QA project outputs and manage internal handoffs (copy, design, dev)
• Communicate progress clearly with clients, agency stakeholders, and team members.
2. Creative Operations – Internal (20-30%)
You’ll own and evolve our operations roadmap, making sure we’re structured to grow, scale, and stay focused — even as things move fast. You'll work closely with the founders and be key in shaping our internal systems, processes, and team development.
What you'll do:
• Refine and expand our operational roadmap; own the day-to-day action plan
• Set up workflows that support visibility, efficiency, and creative excellence
• Track key metrics: team utilisation, client satisfaction, delivery margin, internal sentiment
• Collaborate with the founders on team resourcing, hiring plans, and onboarding
• Help define roles, responsibilities, and career development frameworks
• Support marketing and business development planning as needed
• Build and maintain internal playbooks, templates, and operational documentation
• Lay the foundation for hiring future project managers and operations staff
Requirements
1. Project Management – Client Work (70-80%)
You’ll lead the end-to-end delivery of creative projects — from briefing and planning through execution and launch, ensuring timelines, budgets, and quality standards are met across multiple accounts.
What you bring:
• Excellent English and confident client-facing communication skills
• Strong organisational skills and experience with agile task management
• Proficiency in project management tools like Asana (or similar)
• Familiarity with WordPress, Webflow, and headless CMS build processes
• Understanding of creative workflows for brand, web, and marketing design deliverables
• Comfort working across multiple time zones and adapting to fast-paced project environments
2. Creative Operations – Internal (20-30%)
You’ll own and evolve our operations roadmap, making sure we’re structured to grow, scale, and stay focused — even as things move fast. You'll work closely with the founders and be key in shaping our internal systems, processes, and team development.
What you bring:
• Senior experience in a creative/agency operations or production role
• Proven success leading cross-functional remote teams
• Experience with P&L responsibility or budget/forecast awareness (Nice to have)
• Track record in scaling small teams and implementing meaningful change
• Ability to stay hands-on while also thinking strategically about systems and scale
• Passion for building creative organisations that run smoothly, not rigidly
