Job Summary
Production Administrator – Pretoria
Our client, a well-established company operating within the medical devices and manufacturing industry, is seeking a highly organized and detail-oriented Production Administrator to join their Pretoria-based factory team.
This role is responsible for providing administrative and operational support to the manufacturing environment by managing production work orders, maintaining accurate inventory records, supporting production planning, and ensuring all production-related system transactions are completed accurately and timeously.
The successful candidate will play a key role in supporting production efficiency, maintaining quality standards, and ensuring smooth coordination between departments.
Key Responsibilities Production & Operations Support
- Assist with daily, weekly, and monthly production planning activities
- Develop and maintain manufacturing schedules together with the Factory Supervisor
- Generate, capture, issue, and close production work orders
- Issue work instructions to Factory and Warehouse teams
- Capture production receipts and process finished goods into stock
- Generate production put-aways and maintain accurate production records
- Monitor work order progress and ensure all documentation is complete and authorized
- Reconcile production outputs against work orders and investigate discrepancies
- Monitor production and wastage targets and report accordingly
- Maintain product master files and production data integrity
Inventory & Stock Control
- Perform periodic stock counts of raw materials and consumables
- Investigate stock variances and non-conformances within required timelines
- Ensure inventory records accurately reflect physical stock at all times
- Prepare quantity adjustments for approval where required
- Proactively monitor stock levels to avoid production downtime
Maintenance & Compliance Coordination
- Support and monitor preventative maintenance schedules
- Ensure calibration and maintenance schedules are updated and completed on time
- Obtain and manage maintenance quotations, approvals, and completion documentation
- Assist in ensuring compliance with relevant regulatory and quality standards
Quality, Health & Safety
- Support housekeeping and health & safety standards within the factory environment
- Record and monitor environmental readings such as temperature and humidity
- Report health and safety incidents timeously
- Assist with investigations into non-conformances and product complaints
- Ensure adherence to internal quality procedures and operational standards
- Support continuous improvement initiatives and process enhancements
Training & Administration
- Assist with training coordination and record keeping
- Maintain accurate filing, reporting, and production documentation
- Ensure clear and effective communication across departments
- Provide general administrative support to the Factory and Operations teams
Minimum Requirements
- Matric / Grade 12
- Minimum 5 years’ experience in a similar administrative or production support role
- Strong administrative and organizational skills
- Excellent attention to detail and accuracy
- Strong communication and interpersonal skills
- Ability to multitask and work effectively under pressure
- Good problem-solving skills and ability to use initiative
- Proficient in Microsoft Office (Word, Excel, Outlook)
Advantageous Experience
- Exposure to manufacturing, fabrication, engineering, or production environments
- Experience working with ERP/MRP systems
- Diploma or Certificate in Production, Operations, Supply Chain, or a related field
