A specialist technical repair facility is seeking a customer-focused and technically inclined Customer Service Administrator to join its team in Middelburg.
The successful candidate will provide customer service and administrative coordination throughout the repair process. This will include handling customer enquiries, managing repair documentation, preparing quotations, coordinating purchasing and keeping customers informed from the initial repair request through to completion and delivery.
The role will suit an individual who is organised, accurate, proactive and able to manage multiple priorities, while maintaining effective communication with customers, suppliers, the workshop, warehouse and internal sales teams.
Key Responsibilities
Receive and process customer enquiries and repair requests.
Respond to customer queries regarding motor repairs, job progress and expected turnaround times.
Open, maintain and follow up on repair job cards and supporting documentation.
Prepare quotations and monitor outstanding quotations.
Keep customers updated on repair status, costs and expected completion dates.
Coordinate with the workshop and repair facility to ensure agreed customer timelines are achieved.
Identify and purchase parts, materials and components required for repair work.
Request supplier pricing and process purchase orders.
Follow up with suppliers regarding outstanding orders and expected delivery dates.
Monitor back orders and ensure outstanding items are followed up.
Coordinate with warehouse and dispatch teams regarding parts and completed repair units.
Assist with the planning and scheduling of repairs and deliveries.
Maintain accurate customer and job records and ensure system information remains current.
Provide administrative assistance and reporting support to the repair facility.
Assist with invoicing and ensure all supporting documentation is complete.
Handle customer complaints and work towards professional and timely resolution.
Provide support to the internal and external sales teams when required.
Participate in relevant meetings and provide updates where necessary.
Perform general administrative and office-related duties.
Qualifications & Experience
Grade 12 / Matric.
1–2 years' experience in Customer Service, Internal Sales, Administration or a related role.
Experience within an electrical motor, engineering, repair or technical environment will be advantageous.
Previous purchasing or procurement exposure will be beneficial.
Computer literate with good working knowledge of Microsoft Office.
Basic accounting knowledge.
Technically minded with an interest in learning about electrical motors and associated products.
