About Role:
We are looking for a commercially minded and technically capable Engineering Office Coordinator to manage and coordinate the workflow between customers, management, suppliers, purchasing and the workshop.
This is not a conventional receptionist or general administration position. The successful candidate will play a key role in ensuring that engineering jobs move efficiently from the initial enquiry through to completion, delivery and invoicing.
Receive and coordinate RFQs (Requests for Quotations) from customers.
Prepare, issue and follow up on quotations.
Process customer orders and Purchase Orders (POs).
Coordinate jobs from order stage through to the workshop.
Liaise with management, customers, suppliers, purchasing and workshop personnel.
Raise and coordinate purchase orders for required materials and services.
Track material availability, purchasing and supplier deliveries.
Monitor the progress of jobs and ensure deadlines are communicated and maintained.
Coordinate completed jobs through to delivery and invoicing.
Assist with customer and supplier queries and provide regular updates.
Ensure all job-related documentation and administration is accurate and up to date.
Identify delays or bottlenecks and follow up with the relevant parties to keep jobs moving.
Provide general commercial and administrative support to the engineering operation.
Previous experience in an engineering, manufacturing, machining, fabrication, steel, industrial supplies or similar technical environment.
Experience coordinating quotations, orders, purchasing and/or invoicing.
Strong administrative and organisational skills.
Excellent communication and customer service skills.
Ability to coordinate multiple jobs and priorities simultaneously.
Strong attention to detail and accuracy.
Good computer literacy and experience working with ERP, accounting or job management systems will be advantageous.
Must be comfortable working with both technical and commercial information.
Ability to work independently, follow up on outstanding actions and ensure deadlines are met.
We are looking for someone who is a natural coordinator and problem solver — someone who doesn't simply process paperwork but actively follows a job through the business and makes sure everyone knows what needs to happen, who needs to do it and when it needs to be completed.
A background in precision engineering, machining, fabrication, steel, manufacturing or industrial supplies will be a strong advantage.
