Job Title: Administrator Assistant – One Year Employment Contract Location: Cape Town (Hybrid) with meetings in Blaauwberg, Cape Town when required Hospitality Hire is recruiting on behalf of a leading professional membership organisation for an organised and proactive Administrator Assistant to support the General Manager with the day-to-day administration and operations of the organisation. This is an excellent opportunity for an administrative professional who enjoys working in a dynamic environment where no two days are the same. The successful candidate will play a key role in managing client memberships, coordinating professional networking events, supporting Board administration, maintaining organisational records, and ensuring the smooth running of daily operations Minimum Requirements - Previous experience in an administrative, office support, membership administration or event coordination role - Excellent organisational skills with exceptional attention to detail - Strong written and verbal communication skills - Professional communication skills when engaging with members, clients, stakeholders and suppliers - Ability to manage multiple priorities and meet deadlines - Proficiency in Google Workspace, including Gmail, Google Drive and Google Calendar - Comfortable using online databases, membership management systems and event registration platforms - Ability to work independently while contributing effectively within a small team - Experience taking meeting minutes and preparing meeting documentation will be advantageous Key Responsibilities - Provide administrative and operational support to the General Manager - Manage client membership enquiries, applications, renewals and onboarding processes - Maintain accurate membership records and organisational databases - Coordinate professional networking events, including registrations and attendee communications - Upload events to the website and event management platforms - Assist with newsletters, email communications and promotional materials - Schedule Board and Committee meetings and prepare meeting documentation - Attend online meetings, record accurate minutes and distribute action lists - Maintain organised records and document management within Google Drive - Coordinate bookings, obtain quotations and liaise with suppliers as required What We're Looking For We're looking for a highly organised, self-motivated administrator with excellent communication skills who enjoys supporting a professional organisation. You should be comfortable juggling multiple responsibilities, coordinating networking events, managing memberships, and delivering a consistently high standard of administrative support while building positive relationships with members, clients and stakeholders. Working Arrangement This is a hybrid position based in Cape Town, offering a combination of remote and in-person work. The successful candidate will be required to attend regular meetings with the General Manager, Board meetings, networking events and other organisational activities as required.
