Job Summary
Our client a registered non-profit organization consisting of a national office and three branches which operate in the nine provinces of South Africa is looking to hire a half day Office Manager. Interviews of shortlisted candidates will commence in January 2026.
Responsibilities
- To liaise and support staff in all office related matters
- Conduct monthly staff check ins and annual performance discussions
- To support members
- To attend monthly committee meetings, Adult Support Groups, Branch and National AGM
- To conduct weekly staff meetings
- To complete monthly branch reports for The Cape Branch and forward the information to The National office
- Attend Department of Social development stakeholder meetings and other business-related meetings.
- To assist with Social Developments quarterly Narrative report, and Annual Narrative report. To be sent to DSD National office including AFS Report at the end of the year.
- To complete the annual TPA and send it to Social Development
- Complete a Lotto application online
- Do a monthly scrutiny of Petty Cash and sign off
- Oversee annual audit conducted by Sprigg Abbott
- Ensure all budget requirements are met for the Branch
- Oversee all staff leave requests and absenteeism
- Arrange all annual and monthly events as required
- Control Inventory of all Office Equipment
- Arrange repairs of mobility equipment with F & H Mobility
- Ensure that the quarterly newsletter is completed by the social services staff and sent to The National office
Administrative Duties
- Answering incoming telephone calls
- Monitor emails, filing and typing
- Send Teams meeting requests for all committee meetings
- Taking minutes of all meetings ie: Staff meetings, Committee Meetings and AGM’s
- Handling general correspondence
- Oversee all payments of accounts, EFT, bank payments, SARS payments, Salary payments.
- Collate all staff leave requests and absenteeism and send month end totals to Sprigg Abbott
- Ensure that stationery is sufficient in the office
- Update the branch database
- Monitor donations
- Conduct all Banking transactions
- Ensure that big balances are transferred to the call account as that generates interest
- Handle Petty Cash, Bank reconciliations and take the paperwork to Sprigg Abbott for bookkeeping
- Reconcile all debit card purchases
- Oversee volunteers working in the bargain shop and cash takings
- Carry out shopping for all events and for the office
- Caring for walk in clients
- Issue 18A certificates
- Assisting with fundraising events
- Handling visitors and deliveries to the Branch
- Responsible for all other administrative duties
- Any other ad-hoc duties and multitasking
- Ensure there are enough electricity units monthly
- Oversee volunteers working in the bargain shop
- Liaising with builder/plumber for any building repair or work to the premises.
Job Requirements
- Matric and Qualification in Management/Leadership
- Qualification in Office Administration
- Experience in Fundraising would be advantages
- Experience in Awareness would be advantages
- Computer literacy and proficiency in Word, Excel and PowerPoint
- Fluent in writing/speaking in English, Afrikaans
- A valid Driver’s license is essential
- Required to work on some Saturdays
- Salary will be discussed during the interview.
