Job Summary
Job Overview:
- The purpose of this role is to manage the day-to-day operations of the Stores Raw Material area, within the stores department, ensuring the efficient receipt, storage and dispatching of the raw material. This role is crucial in maintaining the integrity of the supply chain by ensuring that the raw material inventory is managed effectively, in compliance with FSSC 22000 requirements.
Minimum requirements:
- Grade 12 (Matric)
- Diploma/Degree in Supply Chain, Logistics, or related field advantageous
- 3+ Years’ experience in inventory management, preferably in a FMCG environment
- Strong knowledge of FSSC 22000, GMP, and food safety practices
- Experience with inventory management systems (ERP/WMS)
- Proficiency in Microsoft Office
- Good understanding of stock control principles (FIFO/FEFO)
- Valid Driver’s License
Main Responsibilities:
Inventory Management:
- Manage the day-to-day movement of the raw material from the raw material areas within stores to other departments as per the MRP (Material Required Planning) in line with FSSC 22000 requirements
- Ensure that raw material is moved accurately physically as well as on the ERP system
- Ensure accurate stock control, cycle counts, and stock reconciliation
- Manage and coordinate the effective and accurate receipt, storage, and issuing of raw materials, in accordance with company procedures to ensure timely order fulfilment
- Manage the return of deposit items to respective suppliers
- Ensure that the raw material areas are clean and organized according to company guidelines
- Ensure efficient space utilization
- Ensure timely delivery of raw material and resolve any supply chain issues
- Monitor stock levels and coordinate with procurement to prevent shortages or overstocking
- Ensure strict adherence to FIFO/FEFO principles, particularly for temperature-sensitive materials
Document control and compliance:
- Implement, and maintain an effective document control system that complies with FSSC 22000 requirements
- Ensure all records related to raw material (e.g., receiving documentation, inventory records, dispatch documentation,) are accurately maintained, up-to-date, and easily retrievable
- Regularly review and update Standard Operating Procedures (SOPs) to ensure SOP’s reflect current practices and comply with food safety standards
- Coordinate with the Quality Assurance team to ensure that all documentation meets internal and external audit requirements
- Maintain traceability of all raw materials
- Take part in the preparation for internal and external audits
- Train stores staff on the importance of accurate record-keeping and document control in relation to food safety
Staff Management:
- Manage employee relations within the stores raw material area, ensuring adherence to company policies and procedures
- Serve as the primary point of contact for employee concerns, grievances, and disciplinary actions, ensuring that they are handled in accordance with company policy and legal requirements
- Plan, organize, and control the day-to-day activities of the store’s teams
- Conduct performance reviews, set goals, and provide feedback to stores staff on their performance
- Manage staffing levels to meet operational requirements, including hiring and training new employees
- Conduct regular training sessions with staff on stores operating procedures
- Foster a positive work environment that encourages teamwork, accountability, and continuous improvement.
Health and Safety:
- Ensure that the stores raw material area and staff comply with health and safety regulations and FSSC 22000 requirements
- Take part in regular safety audits and risk assessments and implement corrective actions as necessary
- Ensure that the staff are trained on health and Safety policies and procedures
- Ensure compliance with all relevant legal and company standards, including environmental regulations
- Lead initiatives to promote a safe working environment and reduce workplace accidents
Communication and Coordination:
- Coordinate with other departments to ensure smooth operations and resolve any issues that arise
- Provide regular updates and reports to senior management on stores and factory warehouse operations
