Job Summary
Sales administration
- Processing of customer orders as per procedure and company standards.
- Administering tender enquires.
- Prepare quotes in line with item numbers and price lists.
- Counter sign quotations from sales representatives.
- Forward credit applications to customers.
- Ensure coding descriptions are correctly done for processing purposes.
- Follow up with customers on revised delivery dates before due dates.
- Ensure revised delivery dates are indicated on schedules as requested by customers and approved by the Logistics Manager.
- Maintain accurate records of sales orders.
Sales documentation.
- Prepare sales documentation for export orders (pro forma invoices, letter of credit, foreign exchange calculations).
- Process quotations in line with procedures.
- Update price lists regularly.
- Update customer data base.
- Prepare invoicing for projects.
- Administer the sales records filing system.
Sales reporting.
- Prepare and maintain sales reports.
- Prepare month end reports for finance.
- Take minutes at the sales meetings.
Customer relations.
- Address and resolve problems with customers.
Sales promotions and events
- Assist in sales promotions and events.
MINIMUM REQUIREMENTS:
- Minimum Matric or equivalent.
- Diploma in office administration an added advantage.
- 5 years sales admin experience within an engineering manufacturing environment.
- Technical acumen
- Computer literacy - MS Office, MS Projects.
- Exposure to rail industry would be an added advantage.
- Must possess excellent customer service and interface abilities.
