Utilities Operations Administrator
About the Role
We are seeking a highly organized and detail-oriented Utilities Operations Administrator to join our team. The successful candidate will provide comprehensive administrative and billing support to the Utilities function, ensuring the accurate capture, maintenance, reconciliation, and reporting of utility data. This role plays a key part in supporting cost recovery processes, maintaining accurate records, and facilitating effective communication between internal and external stakeholders.
Key Responsibilities, Utilities, Billing and Administration
- Capture, verify, and process utility billing information accurately and efficiently.
- Maintain billing records in accordance with internal controls and reporting requirements.
- Support cost recovery processes through the accurate allocation and reconciliation of utility costs.
Data Management and Reporting
- Maintain accurate and up-to-date utility records and databases.
- Reconcile utility consumption and billing information on a regular basis.
- Prepare and maintain reports to support operational decision-making and cost management initiatives.
Stakeholder Liaison and Query Resolution
- Act as the primary point of contact between landlords, tenants, utility service providers, the Finance Department, and the Utilities Manager.
- Investigate and resolve utility and billing-related queries in a timely and professional manner.
- Coordinate information flow to ensure effective communication across all stakeholders.
General Administration
- Provide day-to-day administrative support to the Utilities department.
- Maintain organized filing systems, documentation, and records.
- Ensure utilities-related information is stored accurately and in accordance with company procedures.
- Assist with ad hoc administrative tasks and contribute to the continuous improvement of utilities management processes.
Minimum Requirements
- Matric / Grade 12.
- Minimum of 2 years' relevant administrative experience.
- Strong administrative background with excellent organizational skills.
- Valid driver's license (advantageous).
- Previous utilities or billing experience will be beneficial, although training will be provided.
- Certificate or Diploma in Administration, Finance, Accounting, or a related field (advantageous).

- Exposure to BI dashboards and reporting tools (advantageous).
- Experience with, or willingness to learn, Microsoft Business Central.
