Job Summary
THE MINIMUM REQUIREMENTS FOR THE ROLE ARE:
- Grade 12 / Matric Certificate, with a minimum of 3 years’ proven experience in an administrative support role, preferably within a fast-paced, project-based, or consulting environment
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), with the ability to confidently manage documentation, coordinate meetings and events, and handle day-to-day administrative responsibilities
- Strong written and verbal communication skills, including the ability to draft professional correspondence, manage calls, liaise with service providers, and support stakeholder engagement
- Excellent organisational, planning, and coordination skills, with experience managing schedules, logistics, meetings, and event preparation
- A valid driver’s licence and own reliable vehicle, or the ability to travel easily within Cape Town, with flexibility to attend off-site and after-hours community engagements and facilitation activities when required
DUTIES WILL INCLUDE
OFFICE ADMINISTRATION & MANAGEMENT
- Overseeing daily office operations to ensure smooth and efficient functioning
- Managing schedules, appointments, meetings, calendars, and internal communications
- Handling emails, calls, correspondence, and general administrative coordination professionally and efficiently
- Maintaining organised administrative systems, accurate records, and effective office support processes
PROJECT & CONSULTANT SUPPORT
- Supporting consultants across multiple ongoing projects through effective administrative coordination, project logistics, documentation management, and communication to ensure organised and efficient delivery
EVENT & COMMUNITY COORDINATION
- Coordinating and supporting community events and stakeholder engagements, including event logistics, venue bookings, materials preparation, stakeholder liaison, and on-site assistance, with availability for after-hours facilitation activities when required
COMMUNICATION & STAKEHOLDER LIAISON
- Managing professional communication and stakeholder liaison with service providers, community representatives, and stakeholders through clear, responsive, and organised coordination across phone, email, and in-person interactions
