A well-established organisation in the commercial property sector is seeking a proactive and commercially aware Property Operations Coordinator to support the day-to-day management of its commercial property portfolio.
This role will suit an organised, practical and solutions-driven individual who takes ownership, enjoys problem-solving and has a sound understanding of commercial property operations and building maintenance.
Coordinate maintenance, repairs and contractor activities across the commercial property portfolio.
Investigate operational and maintenance issues and assist with determining landlord and tenant responsibilities.
Obtain, compare and critically review quotations, monitor work in progress and ensure matters are followed through to completion.
Prepare accurate monthly property reports and maintain reliable operational records.
Conduct property inspections and assist with tenant handovers where required.
Manage tenant and stakeholder queries and provide professional progress updates.
Assist with lease administration, renewals, amendments and lease-related obligations.
Assist with municipal account queries, tenant recoveries and related property charges.
Maintain accurate property, maintenance, contractor and compliance records.
Gather information, identify practical solutions and present recommendations to management.
Minimum 5 years' relevant experience in commercial property operations, facilities management, commercial property administration or a similar environment.
Sound practical knowledge of commercial building maintenance, including roofing, waterproofing, plumbing, electrical installations, lighting, air-conditioning, access control and general repairs.
Strong judgement when assessing maintenance issues, quotations, proposed repairs and contractor recommendations.
Ability to identify unnecessary expenditure and recognise when specialist advice is required.
Strong administration, reporting, organisational and record-keeping skills.
Proficiency in Microsoft Office, particularly Excel, Word and Outlook.
Experience with MRI/MDA, Xero or similar property management systems will be advantageous.
A relevant qualification in property, facilities management, construction, building, administration or a related field will be advantageous.
Valid driver's licence and ability to attend properties as required.
Takes ownership and follows matters through to completion.
Proactive and able to work independently with limited supervision.
Practical and commercially minded with sound judgement.
Strong attention to detail.
Professional written and verbal communication skills.
Resilient and able to manage competing priorities and deadlines.
Willingness to work overtime when operationally required.
