Job Summary
Purpose of the role
The Personal Assistant to the Sales Director provides high-level administrative, organizational, and sales support to ensure the efficient operation of the sales function and drive revenue growth in the solar energy sector. This role requires a proactive, detail-oriented professional with strong organizational skills, experience in sales administration or executive support, and familiarity with sales processes, CRM systems, and the renewable energy/solar industry. The position demands discretion, excellent communication, multitasking abilities, and a focus on enabling the Sales Director to prioritize high-value client engagements, pipeline management, and strategic sales initiatives.
Key Responsibilities
Executive & Administrative Support
- Provide comprehensive personal and executive support to the Sales Director
- Manage the Sales Director's calendar, scheduling client meetings, internal strategy sessions, site visits, industry events, and appointments while prioritizing time effectively
- Screen and manage high-volume calls, emails, and inquiries from clients, partners, installers, and prospects; respond appropriately or redirect as required
- Prepare, transcribe, and distribute minutes for sales team meetings, pipeline reviews, client presentations, and senior leadership discussions
- Handle confidential information (e.g., client proposals, pricing, contracts) with the highest level of discretion and professionalism
- Develop and maintain automated reminders/alerts for key sales deadlines, follow-ups, proposal submissions, and deliverables
- Prepare sales presentations, proposals, pitch decks, expense reports, and professional correspondence
Sales Support & Reporting
- Compile weekly and monthly sales performance reports for the Sales Director, including pipeline status, conversion rates, revenue forecasts, key metrics, and insights from CRM data
- Assist with sales forecasting, tracking quotas, and basic variance analysis for sales targets
- Process sales-related expenses, travel reimbursements, client entertainment, and commissions; ensure compliance with company policies
- Maintain accurate sales documentation, client records, and opportunity tracking to support decision-making
- Implement and manage administrative systems (e.g., CRM updates, lead tracking) to improve sales efficiency and follow-up processes
- Liaise with finance, operations, or external partners (e.g., installers, financiers for solar projects) on sales-related matters
Travel, Events & Logistics
- Arrange and coordinate domestic and international travel, including client site visits, solar project assessments, trade shows (e.g., renewable energy expos), itineraries, accommodation, visas, and transport
- Optimize travel to ensure cost efficiency, time management, and alignment with sales priorities; track and report related expenses
- Organize and coordinate sales meetings, client hospitality, product demos, monthly team huddles, and industry networking events
- Support logistics for corporate partners, prospective clients, and sales team members (e.g., demo equipment transport, event setup)
Office & Team Support
- Supervise or support junior administrative/sales admin staff in sales-related tasks (e.g., data entry, lead qualification) as required
- Facilitate onboarding and training for new sales or admin team members where needed
- Streamline sales workflows, prioritize tasks, and enhance productivity for the Sales Director and team
- Create and maintain efficient filing/documentation systems (digital and physical), with emphasis on sales pipelines, client files, and proposals
- Support ad hoc projects and special initiatives, particularly those involving sales analysis, market research, or client relationship management
Qualifications
Education:
- Matric
- A bachelor's degree/diploma in a relevant field (e.g., Business Administration, Sales/Marketing, Renewable Energy, or related) – will be an advantage
Other:
- Own reliable vehicle with valid License
Experience and Skills
Experience:
- Proven experience as an Executive Assistant, Personal Assistant, Sales Administrator, or similar role, with at least 3–5 years supporting sales leadership or in a sales environment
- Background in sales support, preferably in renewable energy, solar, construction, or related industries; familiarity with solar sales cycles, incentives, or financing is a plus
- Proficiency in CRM systems (e.g., Salesforce, HubSpot), Microsoft Office Suite (especially Excel for reporting), and sales tools
Skills:
- Exceptional interpersonal and communication skills (written and verbal)
- Strong stakeholder management, including clients, partners, and internal teams
- Advanced organizational, planning, and multitasking abilities in a fast-paced sales environment
