SAIMI seeks to appoint an experienced PR & Marketing Administrator to oversee the public relations and marketing portfolio, including coordination of SAIMI online presence, i.e. website and social media; coordination, promotion and facilitation of the Maritime Awareness and Outreach Programme; including liaison with marketing and advertising agency and relevant stakeholders. The positions report to the Operations Director. |

KEY PERFORMANCE AREAS |
|
1.1 Develop the public relations and media plan. 1.2 Compiling information to be included in the annual SAIMI reports and brochures. 1.3 Coordinate publication of newsletters. 1.4 Ensure a central, coordinated approach to media liaison and act as key SAIMI media contact. 1.5 Provide relevant information for press releases and distribution to relevant media. 1.6 Liaising with advertising and PR agency and other service providers. 1.7 Coordinate traffic and production of SAIMI marketing materials, advertising, corporate gifts etc. 1.8 Develop, publish, and coordinate SAIMI online presence, including websites and social media platforms. 1.9 Promote SAIMI and stakeholders’ events and opportunities. 1.10 Coordinate communications with various stakeholders via electronic and digital platforms. 2. Branding and Marketing
2.1 Coordinate the development and implementation of the SAIMI brand strategy and corporate identity. 2.2 To coordinate and assist in developing the annual marketing plan for SAIMI and its individual units and overseeing its implementation. 2.3 To conduct marketing research and capture relevant marketing data on a database. 2.4 To provide consultancy services on media strategies and marketing material such as layout and design, editing, costing and production and distribution procedures. 2.5 To coordinate SAIMI’s marketing campaigns. 2.6 To source, order, and traffic the production of all branding, marketing, and communication material for the institution. 2.7 Provide relevant information to be advertised on the website. 2.8 To coordinate and process all supplier payments for advertising and branding material on time. 2.9 To ensure that all advertisements, branding, and marketing materials adhere to SAIMI’s corporate identity and brand specifications. 3. Events and Project Management
3.1 Develop project plans for public relations, marketing, and events programmes. 3.2 Manage service providers appointed for events. 3.3 Ensure projects adhere to frameworks and all documentation is maintained appropriately for each project. 3.4 Participate in the development of project plans and monitoring, reviewing, and evaluating progress thereof. 3.5 Ensure projects adhere to frameworks and all documentation is maintained appropriately for each project. 3.6 Overseeing daily implementation of day-to-day operations of the project including needs assessment and setting goals and objectives. 3.7 Managing and coordinating all the administrative duties of the project including liaising with relevant stakeholders regarding buy-in, project status and milestones. 3.8 Coordinating and attending meetings including establishing and maintaining internal and external contacts as necessary. 3.9 Preparing and maintaining all related documentation and reports related to the project and managing provision of feedback and reports to stakeholders. 3.10 Acting as a resource person by performing research, analyzing information, providing documentation, and preparing reports for stakeholders. 3.11 Verifies and analyses the accuracy of all data and information used or generated by project; resolves any discrepancies or problems. 3.12 Documenting and following up on important actions and decisions from meetings. 3.13 Event management using SAIMI’s electronic stakeholder and communications platform. 4. Information Management
4.1 Coordinate the usage and maintenance of SAIMI’s electronic stakeholder and communications platform. 4.2 Maintain current and relevant information on the status of tasks on the project plan. 4.3 Prepare any narrative reports necessary, for approval by the Programme Managers to internal or external stakeholders. 4.4 Create and maintain a library of project materials. 5. Financial Management
5.1 Responsible for maintaining budget within areas of responsibilities e.g. monitor and control expenditure on stationery, travel/accommodation, general expenses, events / functions. 5.2 Monitor expenditure and progress to ensure that targets are met. 5.3 Assist with preparing and monitoring Programme budget. 5.4 Liaise with Finance to ensure that the travel and subsistence component is completed in compliance with the University’s financial processes and procedures. 5.5 Liaise with Finance to ensure that payments & reimbursements are made. 5.6 Liaise with the stakeholders to gather information and prepare the periodic financial reports for approval. 6. Secretarial and Administrative Support
6.1 Dealing with programme inquiries and referring to correct person as appropriate. 6.2 Organizes and coordinates meetings, workshops, conferences, and other special events, as required. |
