Job Summary
REQUIREMENT:
- Minimum 5+ years’ experience in estate management, property management, or a similar operational leadership role
- Proven experience managing contractors and multi-service operational environments
- Strong understanding of HOA governance structures and applicable legislation
- Experience working with Boards, Committees, and Managing Agents
- Financial literacy with the ability to manage budgets and interpret reports
- Strong leadership, communication, and conflict resolution skills
- Excellent organisational and problem-solving ability
- Professional, calm, and solutions-driven approach
- Valid Driver’s License essential
- Ability to work independently and manage emergencies when required
KEY RESPONSIBILITIES:
Operational Management:
- Oversee the daily operations and maintenance of the estate
- Maintain high estate standards and service delivery levels
- Conduct regular inspections and ensure issues are resolved promptly
- Identify operational risks and implement preventative measures
Contractor & Service Provider Management:
- Manage all contractors and service providers in line with contractual obligations
- Monitor service levels and enforce accountability
- Handle contractor performance issues and procurement processes
- Ensure quality control across all outsourced services
Governance & Compliance:
- Ensure compliance with HOA rules, policies, and legislation
- Support the Board in implementing governance decisions
- Manage resident conduct matters, disputes, and complaints professionally
- Maintain accurate operational and governance records
Financial Oversight:
- Work closely with the Finance Coordinator and Managing Agent
- Monitor budgets, expenditure, and operational costs
- Identify cost-saving opportunities and ensure financial controls are followed
- Report variances and operational concerns to the Board
Staff Management:
- Lead, manage, and develop on-site staff
- Allocate responsibilities and monitor performance
- Promote accountability, professionalism, and teamwork
Health, Safety & Risk Management:
- Ensure compliance with health and safety regulations
- Implement emergency procedures and risk management plans
- Oversee maintenance of safety systems and infrastructure
Asset & Infrastructure Management:
- Oversee preventative maintenance programmes
- Maintain infrastructure standards and asset condition
- Support planning for upgrades, repairs, and capital projects
