Our client is looking for a highly organised and detail-oriented Office Administrator with tender administration experience to join their dynamic team. This role is ideal for someone who can manage multiple responsibilities, provide exceptional administrative support, and thrive in a fast-paced professional environment.
Key Responsibilities:
Prepare, issue, and process invoices and quotations accurately.
Order, monitor, and maintain stock levels and stock records.
Assist with account reconciliations, payment tracking, and financial record keeping.
Liaise with suppliers regarding quotations, orders, pricing, and deliveries.
Maintain supplier records and support procurement processes.
Assist with tender documentation, compliance requirements, submissions, and deadlines.
Coordinate information from internal departments and suppliers for tender responses.
Professionally manage incoming calls, emails, and client enquiries.
Provide administrative support to directors, managers, and client service teams.
Prepare correspondence, reports, presentations, and proposals.
Schedule meetings, appointments, conference calls, and travel arrangements.
Assist with timesheets and expense reports.
Maintain office supplies and ensure efficient day-to-day office operations.
Coordinate team schedules and keep clients updated on project progress.
Minimum Requirements:
Diploma in Administration or a relevant qualification.
3–5 years' experience in a similar Office Administrator role.
Previous tender administration experience is essential.
Proficient in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint) and Adobe Acrobat.
Excellent written and verbal communication skills.
Strong organisational and time management abilities.
High level of accuracy and attention to detail.
Ability to work independently, take initiative, and solve problems effectively.
Strong analytical and decision-making skills.
Able to adapt to changing business needs and work in a fast-paced environment.
