Job Summary
Position Overview · A picturesque lodge situated in the Western Cape seeks a professional, organised, and customer-focused Reservationist/Admin Coordinator to join the team. The successful candidate will be responsible for managing reservations, guest communication, administrative coordination, and supporting the smooth day-to-day operation of the lodge. · This role requires an individual who is detail-oriented, capable of multitasking in a fast-paced hospitality environment, and committed to delivering exceptional guest service. Due to the location of staff accommodation outside the lodge premises, applicants must possess reliable personal transportation and a valid driver’s license. Key Responsibilities Reservations & Guest Liaison · Manage all lodge reservations, bookings, amendments, and cancellations. · Respond professionally and timeously to guest enquiries via email and telephone. · Coordinate guest check-ins and check-outs. · Prepare reservation confirmations, invoices, and guest correspondence. · Maintain accurate booking records and occupancy schedules. · Liaise with travel agents, tour operators, and online booking platforms. · Ensure all guest requests and special arrangements are communicated to relevant departments. Administrative Coordination · Perform daily administrative and office coordination duties. · Maintain filing systems, reports, and operational documentation. · Assist with stock control records, supplier coordination, and purchase requests. · Support management with reporting, scheduling, and operational planning. · Process payments, reconciliations, and general administrative tasks where required. · Ensure compliance with lodge procedures and hospitality standards. Guest Service & Hospitality Support · Deliver a welcoming and professional guest experience. · Address guest queries and complaints efficiently and professionally. · Assist in ensuring smooth communication between housekeeping, maintenance, kitchen, and management teams. · Promote lodge services and local tourism experiences where applicable. Minimum Requirements · Grade 12 / Matric qualification. · Previous experience in hospitality reservations, front office, administration, or lodge coordination. · Strong computer literacy, including Microsoft Office and reservation systems. · Excellent verbal and written communication skills. · Strong organisational and time management abilities. · Ability to work flexible hours, including weekends and public holidays when required. · Valid driver’s license and own reliable transport are essential.
