You will be the engine behind our tour operations coordinating wine tastings, farm tours, function bookings, and guest experiences with precision. You will build and maintain strong relationships with tour operators, agents, transport providers, and activity suppliers to keep our booking channels flowing.
Minimum 3–5 years of experience in a tour operations environment
Hands-on experience coordinating tours, itineraries, and multi-activity bookings
Experience with luxury safari lodges and boutique hotels is an advantage
Proficiency in tour operator software like Tourplan is an advantage
Experience with hospitality PMS systems (e.g. Fidelio, Apex, Innkeeper, Booking.com, or similar)
ERP system knowledge is an advantage
Proven track record with rate loading managing seasonal, channel-specific, and package pricing across multiple platforms
Strong understanding of supplier/agent contracts, commission structures, and the booking distribution cycle
Marketing experience and social media posting to promote tours and packages
Solid guest liaison and emergency management skills
Experience scheduling guides, drivers, or event staff (advantageous)
Sharp attention to detail and accuracy under deadline pressure
Good working knowledge of Excel, Word, and Outlook
A registered tour guide qualification or wine-related certification is an advantage, but not essential
Your responsibilities will include:
Itinerary Planning & Package Design
Create customised B2B and B2C itineraries tailored to local and international markets
Design holiday packages aligned with client interests or group demands
Price packages competitively for direct clients and travel agents
Logistics & Bookings
Handle reservations, process payments, and issue final tickets or travel vouchers
Schedule guides and coordinate transport logistics
Book external activities and experiences
Costing & Budgeting
Calculate total tour expenses and establish profit margins
Price packages competitively for clients and travel agents
Supplier & Compliance Management
Vet suppliers to verify transport providers possess valid operating licenses and Professional Driving Permits (PDPs)
Manage supplier relationships and contracts
Loading and maintaining rates across multiple channels
Client & Emergency Management
Manage disruptions including flight delays, weather cancellations, and medical emergencies
Handle guest enquiries, complaints, and relationship building with warmth and professionalism
Marketing & Social Media
Create and schedule social media content to promote tours and packages
Assist with marketing campaigns to attract local and international clients
Maintain an active presence on platforms like Instagram, Tiktok and Facebook
Capture and share guest experiences to build brand awareness
