Job Summary
Spa at a Wine Estate in the Stellenbosch / Brackenfell area is looking for a Spa Receptionist. The Spa Receptionist is the first point of contact for all spa guests ; responsible for creating a warm; welcoming and calming environment. This role ensures smooth front-desk operations ; efficient scheduling and excellent guest service from arrival to departure, supporting the overall guest experience within the spa. Duties: Guest Services: Greet all guests in a warm, friendly, and professional manner. Handle check-ins, check-outs, and appointment confirmations. Provide detailed information on spa treatments, therapists, products, and promotions. Ensure guests complete all required consultation forms. Assist guests with special requests, queries, and preferences. Maintain a calm and hospitable atmosphere in the spa reception area. Reservations & Administration: Manage bookings via phone, email, and walk-ins using the spa’s reservation system. Coordinate therapist schedules and treatment room availability. Ensure accurate recording of services, payments, and guest details. Process payments, issue receipts, and maintain cash-up accuracy at the end of each shift. Follow up on outstanding payments, bookings, and confirmations. Operations Support: Maintain cleanliness and organisation of the reception area. Stock; display, and promote retail products in the reception area. Monitor retail stock levels and report low stock to the Spa Manager. Assist in preparing treatment schedules for the day and ensure seamless communication with therapists. Handle any guest concerns professionally and escalate when necessary. Sales & Marketing: Upsell treatments, packages, and retail products. Promote seasonal specials, membership programmes, and gift vouchers. Record and track sales targets where required. Requirements: Grade 12 / Matric (required). Spa or wellness environment experience (preferred). Training or certification in customer service or front desk operations (advantageous). Knowledge of spa treatments, products, and terminology (advantageous). Previous experience with booking systems or POS software. Excellent communication and interpersonal skills. Strong organisational and multitasking abilities. Professional; calm, and well-presented at all times. Customer-service oriented with a warm and friendly demeanour. Ability to handle pressure in a busy spa environment. Strong computer literacy (booking systems, emails, POS systems). Sales skills with the ability to upsell naturally and confidently. High level of integrity and confidentiality. Positive attitude and willingness to learn. Strong sense of professionalism and grooming. Team player with the ability to cooperate with therapists and management. Punctual; reliable, and self-motivated.
