The SA Metal Group has an opportunity for an attention to detail, highly motivated, process-driven and organized Truck Workshop Administrator to join the Truck Workshop Department. The successful candidate will be responsible for providing comprehensive administrative support to the Truck Workshop team by ensuring accurate record keeping, timely reporting, compliance with statutory and company requirements, and the efficient administration of truck workshop related processes. The successful candidate will report to the Truck Workshop Manager.
Key Responsibilities
The successful candidate's responsibilities will include, but are not limited to:
• Managing all email requests and correspondence
• Manage all telephonic requests and correspondence
• Ordering and following up on parts, repairs, services and liaising with various service agents i.e. Volvo, Scania, UD
• Managing and processing of quotations and invoicing for repairs, vehicles services, parts and tools
• Ensure that critical parts that are to be kept at stores are updated regularly
• Liaising with suitable suppliers and sourcing good quality parts and spares
• Ordering all parts and spares from the internal stores
• Fleet service planning for all vehicle types, trailers, baler machines and trailers – arranging vehicle services and Certificate of Fitness appointments and other related tasks
• Scheduling and managing light motor vehicle check with internal departments
• Coordinate, schedule and liaise with key internal staff members in order to ensure their satisfaction on quality and progress of jobs
• All filing and record keeping as it relates to the department
• Any other tasks including administrative functions, as agreed with the Truck Workshop Manager, suited to this level of responsibility
Minimum Requirements
•Grade 12 or equivalent
•Relevant administration qualification
•Driver’s licence
•Minimum of 5 years’ experience in a similar role
•Experience in Truck Workshop environment will be advantageous
Computer Literate (MS Word, MS Excel, MS Outlook)
•Strong administrative skills
•Knowledge of Occupational Health & Safety Act
•Good communication skills (understand, read and write English)
