Job Summary
ROLE SPECIFICATIONS: 1. PURPOSE OF ROLE The Stock Controller / Receiving Clerk is responsible for the accurate receiving, inspection, recording, storage; and control of all food, beverage, and operational inventory. The role ensures that all deliveries comply with approved purchase orders, company quality standards, and food safety requirements. This role is accountable for maintaining accurate inventory records, minimising stock losses, ensuring proper stock rotation, and supporting the F&B Manager through effective inventory control and reporting. 2. KEY RESPONSIBILITIES Receive and inspect all food, beverage, and operational deliveries against approved purchase orders; invoices; and delivery notes. Verify product quantities, quality, specifications, expiry dates, packaging integrity, and temperatures upon receipt. Reject or report damaged, expired, incorrect, or substandard products in accordance with company procedures. Ensure all received goods are accurately captured on the inventory management system and supporting documentation. Maintain accurate stock records and ensure inventory balances reconcile with physical stock. Ensure all stock is correctly labelled, stored, and rotated using FIFO (First In, First Out) principles. Monitor stock levels and report shortages, slow-moving items, overstocking, and potential stock risks. Conduct daily, weekly, and monthly stock counts and assist with full inventory audits. Investigate stock variances and report discrepancies, losses, wastage, and potential shrinkage to Management. Maintain secure storage areas and ensure stock is safeguarded against theft, damage, contamination, and spoilage. Ensure compliance with food safety standards, hygiene requirements, and company storage procedures. Liaise with suppliers regarding delivery discrepancies, shortages, and product quality issues. Assist the Procurement Manager with procurement administration, inventory reporting, and stock analysis. Ensure all receiving and stock documentation is accurately filed and readily available for audit purposes. Maintain a clean, organised, and safe receiving and storeroom environment. Perform any other reasonable duties assigned by the Food & Beverage Procurement Manager or General Manager. 3. TECHNICAL SKILLS/COMPETENCIES Strong knowledge of inventory control and stock management principles. Good understanding of food storage, handling procedures, and FIFO stock rotation. Ability to identify quality defects, damaged goods, and non-conforming products. High level of accuracy and attention to detail. Strong numerical aptitude and reconciliation skills. Good organisational and time management abilities. Ability to work under pressure while maintaining accuracy. Honest, trustworthy, and able to maintain confidentiality regarding inventory and procurement information. Good communication and interpersonal skills. Proficiency in Microsoft Excel and inventory management/POS systems (PILOT & GAAP Unity experience advantageous). Basic understanding of HACCP and food safety requirements. 4. MINIMUM QUALIFICATIONS/EXPERIENCE REQUIRED Grade 12 (Matric) is essential. Certificate or Diploma in Inventory Management, Supply Chain, Logistics, Warehousing, or a related field will be advantageous. Minimum of 2–3 years' experience as a Stock Controller, Receiving Clerk, Storeman, or Inventory Controller within the hospitality, restaurant, FMCG, or food distribution industry. Proven experience receiving food and beverage products and managing inventory records. Experience conducting stock counts, reconciliations, and inventory investigations. Working knowledge of inventory management systems and Microsoft Excel. Knowledge of food safety standards, stock rotation principles, and warehouse best practices. Valid driver's licence and own reliable transport will be advantageous.
