The Spare Parts and Work Order Management Supervisor will be responsible for coordinating after-sales spare-parts administration and managing service work orders from creation to completion. The role will ensure accurate stock records, timely allocation of spare parts and effective monitoring of customer-service and repair cases.
• Create, update, monitor and close after-sales service work orders.
• Track the progress of repair, maintenance, warranty and customer-service cases.
• Follow up on outstanding, delayed or incomplete work orders with service centres and internal teams.
• Coordinate the ordering, receiving, allocation and dispatching of spare parts.
• Maintain accurate spare-parts inventory records and monitor stock movements.
• Conduct regular stock reconciliations and assist with stock counts.
• Monitor minimum and maximum stock levels and identify replenishment requirements.
• Match spare parts to the correct product models, repair cases and work orders.
• Ensure that spare-parts usage is accurately recorded against each service case.
• Communicate with customers, service centres, technicians, warehouses and other internal departments regarding work-order progress.
• Maintain complete supporting documentation for all work orders and spare-parts transactions.
• Prepare daily, weekly and monthly reports on open work orders, completed cases, spare-parts usage, ageing cases and stock availability.
• Analyse service and inventory data using Microsoft Excel.
• Identify discrepancies, delays and recurring operational issues and escalate them appropriately.
• Support the After-Sales Service Manager in improving service processes and turnaround times.
• Ensure compliance with TCL’s after-sales, inventory and reporting procedures.
• Diploma or relevant qualification in Supply Chain, Logistics, Business Administration, Customer Service or a related field.
• At least 2–4 years of experience in spare-parts administration, inventory control, work-order management or after-sales service.
• Experience in home appliances, consumer electronics, automotive parts or a related technical industry would be advantageous.
• Strong Microsoft Excel skills, including formulas, filters, lookups, pivot tables and data reporting.
• Proficiency in Microsoft Office and the ability to learn service-management or ERP systems.
• Strong administrative, organisational and follow-up skills.
• High attention to detail and accuracy.
• Good customer-service and communication skills.
• Ability to manage multiple open cases and work under pressure.
• Experience coordinating with warehouses, technicians or service centres would be advantageous.
• Accuracy of spare-parts inventory records.
• Work-order completion and closure rate.
• Number and ageing of outstanding work orders.
• Spare-parts availability and replenishment efficiency.
