A professional front-of-house opportunity for an organised administrator who takes pride in creating a welcoming client experience while keeping the detail behind the scenes under control. This role combines reception, legal administration, executive support and office coordination within a professional consulting and legal environment.
The Receptionist / Legal Administrator will be responsible for maintaining a professional reception function while providing broad administrative support to executives, consultants and the wider business. The role requires excellent organisation, discretion and attention to detail, with responsibility for calendars, meetings, travel arrangements, filing, document management, events and general office administration.
The successful candidate will also support litigation-related administration, training coordination, recruitment administration, verification checks and supplier engagement. This is a varied role suited to someone who is comfortable managing competing priorities, communicating confidently with clients and suppliers, and taking ownership of administrative tasks from start to finish.

Manage calendars, appointments, meetings and events
Welcome clients and visitors professionally and provide refreshments where appropriate
Maintain accurate digital and physical filing systems
Capture and organise files on the relevant cloud or server folders
Maintain physical document storage and filing systems
Archive company documentation and files on a quarterly basis
Coordinate flights, accommodation and car rental for employees and executives
Assist with planning and coordinating social events and year-end functions
Support executives with personal administration and scheduling requirements
Process and organise receipts, invoices and purchase documentation
Coordinate appointments and routine administrative arrangements on behalf of executives
Prepare and send birthday cards or messages to clients
Assist with recruitment administration, including scheduling interviews and liaising with recruitment agencies
Assist with verification and background checks
Obtain and compare supplier quotations
Provide general administrative support to management and consultants
Obtain comparative quotations for transcription and handwriting expert services relating to litigation matters
Print and prepare CTL Management Forum and litigation-related documentation
Coordinate EE and IR training schedules
Prepare and submit certificates of completion for relevant training sessions
Liaise with the Body Corporate and third-party suppliers regarding maintenance and repairs
Monitor discretionary grant opportunities and communicate relevant opportunities to clients
Assist with obtaining and maintaining CTL Management Forum membership certificates and related client compliance documentation
Previous experience in reception, legal administration, office administration or a similar professional services environment
Strong organisational and administrative skills
Excellent verbal and written communication
Professional and confident client-facing manner
Strong attention to detail and accuracy
Ability to manage confidential and sensitive information with discretion
Strong diary, scheduling and coordination capability
Proficiency in standard office and document management systems
Ability to maintain both digital and physical filing systems
