MacMillan Mzansi Accountancy is seeking a capable and proactive IT Administrator to provide day-to-day technical support across the practice. This is a hands-on role suited to someone who is self-motivated, solution-oriented, and comfortable working in a small professional services environment without a dedicated server infrastructure. The IT Administrator will be the first point of contact for all technology-related matters, ensuring staff can work efficiently and securely at all times.KEY RESPONSIBILITIES
1. End-User IT Support
- Serve as the primary help desk for all staff experiencing technical difficulties with hardware, software, or peripherals
- Diagnose and resolve laptop, desktop, printer, scanner, and monitor issues in a timely manner
- Install, configure, and update software applications used by the practice (e.g., accounting software, Microsoft Office 365, PDF tools, email clients)
- Set up new workstations, user profiles, and email accounts for onboarding staff
- Assist staff with password resets, account access issues, and software navigation queries
- Provide basic end-user training on software tools and best practices
2. Network & Connectivity Management
- Manage and maintain the office Wi-Fi network, routers, switches, and modems
- Troubleshoot and resolve internet connectivity issues to minimise downtime
- Ensure network performance is stable and adequate for all staff simultaneously
- Liaise with the ISP (Internet Service Provider) for outages, upgrades, or technical faults
- Configure and manage network printers and shared devices
3. Cloud Services & Software Administration
- Administer and maintain Microsoft 365 (or Google Workspace) — including email, OneDrive/SharePoint, Teams, and licences
- Manage cloud-based storage and ensure folder structures are organised and accessible
- Assist with configuration and troubleshooting of cloud-based accounting platforms (e.g., Xero, Sage, QuickBooks)
- Ensure software licences are current, renewed timeously, and cost-effectively managed
- Coordinate with third-party software vendors for support, updates, and billing
- Manage software licensing
- Assist in implementations of software like Dext and other as necessary
4. Data Backup & Recovery
- Implement, monitor, and test a reliable data backup solution (cloud and/or external drives) to protect all practice data
- Establish a backup schedule and verify backup integrity on a regular basis
- Develop and maintain a basic disaster recovery and business continuity plan
- Ensure client financial data is not lost due to hardware failure or accidental deletion
5. Cybersecurity & Compliance
- Install and maintain antivirus/endpoint protection software on all devices
- Ensure all operating systems and applications are regularly patched and updated
- Enforce basic cybersecurity policies (strong passwords, multi-factor authentication, phishing awareness)
- Monitor for and respond to any security threats or suspicious activity
- Ensure the practice's IT practices align with POPIA (Protection of Personal Information Act) requirements regarding data protection and privacy
- Educate staff on safe email practices and how to identify phishing or scam attempts
6. Hardware & Asset Management
- Maintain an up-to-date IT asset register (all devices, peripherals, software, and licences)
- Conduct regular health checks and preventative maintenance on all hardware
- Manage the lifecycle of IT assets — identify ageing equipment and plan timely replacements
