Job Summary
ROLE SPECIFICATIONS: 1. PURPOSE OF ROLE The Food & Beverage Manager is responsible for the strategic sourcing, procurement, and supply of all food; beverage; and related operational products required by the business. The role is accountable for ensuring the consistent procurement of high-quality products at competitive prices while maintaining strong supplier relationships; negotiating favourable commercial agreements, and ensuring uninterrupted supply. The incumbent will oversee procurement planning, supplier performance, quality assurance, inventory optimisation, and cost control to maximise profitability and operational efficiency whilst ensuring compliance with company policies and food safety standards. 2. KEY RESPONSIBILITIES Develop and implement procurement strategies for all food, beverage, packaging, and operational consumables. Source, evaluate, appoint, and manage suppliers to ensure consistent quality, reliability, and value. Negotiate pricing, payment terms, rebates, service level agreements, and long-term supply contracts. Build and maintain strategic supplier relationships to secure favourable commercial outcomes. Continuously benchmark supplier pricing and market trends to ensure competitive purchasing. Ensure all procured products meet the Company's quality specifications and operational requirements. Conduct regular supplier audits and product quality evaluations. Manage the procurement budget and identify opportunities for cost savings without compromising quality. Oversee purchasing processes, purchase orders, and procurement approvals. Monitor stock levels and purchasing requirements to prevent shortages, overstocking, and unnecessary wastage. Work closely with the Head Chef, Bar Manager, and Operations Management to forecast purchasing requirements and introduce new products where appropriate. Evaluate alternative suppliers and products to improve quality, availability, and cost efficiencies. Analyse purchasing trends, supplier performance, pricing fluctuations, and consumption patterns. Ensure procurement complies with company policies, food safety standards, and applicable legislation. Resolve supplier disputes, delivery issues, quality concerns, and contractual matters promptly. Prepare procurement reports, cost analyses, and supplier performance reviews for Management. Continuously identify opportunities to improve procurement processes and operational efficiencies. Perform any other reasonable duties assigned by the General Manager or Directors. 3. TECHNICAL SKILLS/COMPETENCIES Extensive knowledge of food and beverage procurement and supply chain management. Strong commercial negotiation and contract management skills. Excellent supplier relationship management abilities. Strong understanding of product quality assurance and food specifications. Advanced knowledge of inventory management and procurement planning. Strong financial acumen, including budgeting, cost analysis, and gross profit management. Excellent analytical and reporting skills. Strong problem-solving and decision-making abilities. Excellent organisational and planning skills. High attention to detail with a focus on quality and cost optimisation. Strong communication and stakeholder management skills. Proficiency in Microsoft Office, particularly Excel, and inventory/procurement systems specifically PILOT & GAAP Unity. 4. MINIMUM QUALIFICATIONS/EXPERIENCE REQUIRED Diploma or Degree in Supply Chain Management, Procurement, Logistics, Hospitality Management; Business Management, or a related qualification. Minimum of five (5) years' experience in procurement or purchasing within the hospitality, restaurant; food manufacturing, or food distribution industry. Proven experience negotiating supplier contracts and commercial agreements. Demonstrated experience managing food and beverage procurement, supplier relationships, inventory, and cost control. Strong understanding of food quality standards, supplier management, and inventory best practices. Experience with procurement systems, PILOT & GAAP Unity, and Microsoft Excel. Valid driver's licence and own reliable transport will be advantageous.
