? Assistant Front Office Manager – Luxury Safari Lodge – Hoedspruit ? Salary: Negotiable DOE | Live In Kendrick Recruitment is recruiting for an experienced Assistant Front Office Manager to join a luxury safari lodge in Hoedspruit. This is a key operational role supporting front office, guest experience, lodge communication, and administrative functions within a high-end lodge environment. ? Outputs & Key Responsibilities ? Lodge Communication Ensure clear and effective front office communication throughout the lodge Prepare daily daysheets and assist with coordinating lodge movements and activities Ensure all guest preparation, confirmations, and check-in registration forms are completed Plan ahead to ensure rooms are accurately allocated and all details are captured on the daysheet Support Receptionists in maintaining daysheets and assist when required Capture and manage guest feedback forms Monitor emails and communicate actions to relevant departments Maintain clear communication with the reservations office regarding bookings Manage internal communication via radio and WhatsApp groups Play a critical role in managing the airstrip and scheduled flights ? Guest Support Host and welcome agent site inspections when required Confirm flight arrivals and road transfer details Communicate relevant guest and operational information to lodge management teams Prepare operational daysheets from Tourplan Assist with updating occupancy forecasts Update lodge, guest, and driver accommodation lists Maintain accurate filing systems Assist with guest check-ins, check-outs, and billing when required Host guests according to the hosting roster ? Lodge Support Assist with weekly banking processes, ensuring accuracy and balance Investigate and follow up on losses or discrepancies and flag guest feedback issues Assist with monthly financial reports Balance massage treatment reports Assist with staff roster planning for transfers, retail, therapists, and reception Analyse revenue and costs to ensure profitability across business units Facilitate training for reception and front-of-house teams on daysheets and PANstrat Ensure PAN is up to date and clear outstanding bills Follow up on landing fees for the airstrip Ensure stationery requirements are met Manage staff leave planning and approvals in the Front Office Manager’s absence ? Transfer Business Allocate and manage all lodge transfers Liaise with preferred suppliers when outsourcing is required Track vehicle licences and facilitate renewals Monitor charges on revenue pre-list spreadsheets Assist with Johannesburg logistics schedules Maintain effective communication with drivers Arrange last-minute transfer bookings Control permit books and logbooks ? Skills Required Excellent communication skills with guests and colleagues Ability to remain positive in high-pressure environments Excellent English (spoken and written) Strong attention to detail and accuracy Excellent computer skills, particularly MS Word, Outlook, and Excel Ability to work well under pressure with patience and resilience Strong organisational skills Honest; proactive, driven, and integrity-focused Strong leadership and teamwork skills Quick decision-making ability Basic financial and business understanding ? Knowledge Required Hospitality and luxury lodge operations Knowledge of surrounding areas and communities PANstrat knowledge andBeyond systems knowledge ?
