The successful candidate will provide high-level administrative, reporting, coordination and operational support to the Factory Manager, helping to ensure the smooth day-to-day running of plant operations. This is not a general office administration role. It is a plant-based operational support role with a strong focus on Excel reporting, action tracking, follow-up, documentation control, management information and cross-department coordination.
What You'll Do:
Compile, analyse and summarise reports from various factory operational areas to support management decision-making.
Collate operational data and convert information into clear, structured, accurate and useful reports for management review.
Prepare plant performance reports, operational summaries and management reporting packs.
Highlight operational concerns, gaps, variances, risks and improvement opportunities in a clear and practical manner.
Maintain accuracy, consistency and continuity across operational reporting cycles.
Develop, maintain and improve reporting tools, dashboards, data summaries and tracking documents using Microsoft Excel.
Work with operational information in a structured and detail-focused manner to support decision-making within the plant.
Track action plans, commitments, deadlines, meeting outcomes and operational tasks through to completion.
Follow up with Heads of Department and relevant stakeholders to ensure actions and deliverables are completed on time.
Monitor progress against agreed timelines, operational priorities and follow-up actions.
Take accurate meeting minutes, circulate action items and support clear cross-departmental communication.
Coordinate meetings, schedules, communication and administrative requirements on behalf of the Factory Manager.
Provide day-to-day administrative and operational support to the Factory Manager.
Prepare, format, organise and maintain operational reports, minutes, trackers, schedules, records and documentation.
Manage operational documentation, maintain organised digital and physical filing systems and support document control.
Assist with improving reporting processes, administrative workflows, tracking tools and document structures.
Act as a reliable administrative and coordination link between the Factory Manager, department heads and broader plant stakeholders.
Requirements:
Matric / Grade 12.
Minimum 3–4 years’ experience in administration, operations support, reporting, coordination or a similar role.
Experience within a manufacturing, FMCG, production, factory or operations environment would be highly advantageous.
Intermediate Microsoft Excel capability is essential and non-negotiable.
Advanced Excel capability would be advantageous.
Strong Microsoft Office skills.
Confidence working with formulas, data summaries, pivot tables, report-building, dashboards, tracking documents and Excel-based reporting tools.
Strong reporting skills with the ability to compile, organise, summarise and present operational information clearly and accurately.
Proven experience working with data, reports, management summaries, meeting minutes, action trackers and administrative documentation.
Excellent attention to detail and accuracy.
Strong written and verbal communication skills.
Ability to work under pressure, manage multiple priorities and meet tight deadlines.
Strong follow-up ability and the confidence to coordinate across departments.
Ability to work independently while supporting a broader operational team.
Basic financial understanding to support budget monitoring, cost tracking and financial reporting would be advantageous.
A background in accounting, finance, bookkeeping, cost tracking, financial administration or similar would be advantageous.
A Diploma or Degree in Business Administration, Accounting, Finance, Operations Administration or a related field would be advantageous.
