Role Purpose
The Operations Manager / Operations Lead is responsible for owning daily portfolio readiness and field execution, ensuring all units are consistently guest-ready, fully stocked, and maintained to high operational standards. This role plays a critical part in protecting asset condition, vendor performance, inspection integrity, and operational controls across systems and processes.
The successful candidate will bring a strong asset-care mindset, disciplined systems execution, and the ability to manage multiple operational moving parts in a time-sensitive environment.
Key Performance Areas & Responsibilities
Portfolio Readiness & Daily Operations
- Lead the daily turnover pipeline from 10:00 check-out to 15:00 check-in, ensuring seamless unit readiness across the portfolio.
- Verify that all units are clean, functional, stocked, and guest-ready within required timeframes.
- Protect asset quality and guest ratings through consistent operational discipline and proactive issue resolution.
Cleaning & Vendor Management
- Own cleaning schedules and vendor performance, ensuring quality, timing, and compliance with standards.
- Enforce inspection standards, manage reworks, and ensure corrective actions are completed and documented.
- Maintain full visibility and traceability of cleaning and laundry activities through Asana (or similar systems).
Maintenance & Asset Care
- Own maintenance triage, coordination, scheduling, and backlog control, ensuring correct routing and evidence-based closure.
- Drive preventative maintenance and condition compliance to protect long-term asset health.
- Manage the planned maintenance execution pipeline, including:
- Preventative maintenance calendars
- Condition risk tracking
- Scope and quotation packs
- Completion verification
- Monthly unit health reporting to the General Manager
Inspections & Quality Control
- Run a structured inspection programme, including:
- Daily spot checks
- Monthly full unit inspections
- Verify unit readiness across cleanliness, appliance functionality, and stock completeness.
Stock, Inventory & Storeroom Governance
- Own stock discipline and inventory controls, ensuring:
- Monthly stock takes are completed
- Inventory systems are accurately updated (counts may be assisted, but system ownership is retained)
- Maintain storeroom governance, including organisation, labelling, audit-readiness, and operating standards that enable efficient packing and accurate counts.
Systems, Reporting & Reconciliation
- Own operational reporting quality within Asana, ensuring all tasks, jobs, and references are logged and traceable.
- Ensure laundry and cleaning invoice reconciliation aligns with Asana job references and that linen costs are accurately captured.
- Maintain strong operational control integrity across Asana, Excel, and Hostaway (PMS experience advantageous).
Logistics & Utilities
- Own logistics planning, including vehicle oversight, mileage and fuel requests.
- Maintain utilities continuity, including gas and electricity tracking and preparation of orders for General Manager approval.
Required Skill Level & Profile
- Mid–Senior Operations Leader (not entry-level)
- Strong experience in:
- Operations planning and execution
- Vendor and contractor management
- Asset care and preventative maintenance
- Inspections, stock control, and process governance
- Highly organised, detail-driven, and systems-oriented
- Comfortable working in a fast-paced, deadline-driven environment
- Strong accountability mindset with the ability to drive follow-through
- Experience with property, hospitality, short-term rentals, or asset-heavy environments is highly advantageous
