Job Summary
Hospitality Hire is seeking an experienced Assistant Purchasing Officer to support the purchasing and supply chain function of a large; multi-outlet hotel operation . This role is ideal for a hospitality professional with proven hotel purchasing experience and strong working knowledge of Opera Materials Control . The successful candidate will play a key role in ensuring cost-effective procurement, accurate stock control, and uninterrupted supply across food & beverage outlets, rooms division, maintenance, and operational departments. Key Responsibilities Assist with purchasing of all hotel operational items including F&B, housekeeping, maintenance, and general supplies Create; process, and track purchase orders using Opera Materials Control Maintain accurate supplier pricing, product lists, and cost updates in the system Source; negotiate, and liaise with approved suppliers to ensure quality, pricing, and timely delivery Support stock control, inventory counts, and reconciliation processes across all outlets Monitor stock levels to prevent shortages, over-ordering, or wastage Assist with receiving checks, invoice matching, and discrepancies resolution Ensure compliance with procurement policies, approvals, and audit requirements Prepare purchasing and stock reports for management as required Work closely with Finance, Stores, F&B, Housekeeping, and Maintenance teams Minimum Requirements 2–3 years’ experience in hotel purchasing or procurement (hotel environment essential) Proven experience using Opera Materials Control (non-negotiable) Experience supporting busy; multi-outlet hotel operations Strong understanding of stock control, purchasing procedures, and supplier management Excellent administrative and organisational skills High level of accuracy and attention to detail Ability to work under pressure and meet deadlines Key Competencies Strong numerical and analytical ability Excellent planning and prioritisation skills Commercial awareness and cost-control mindset Clear communication and stakeholder coordination Integrity and confidentiality in financial processes
