Job Summary
A well-established specialist surgical practice in Fichardtpark, Bloemfontein is seeking a highly organised, professional, and compassionate Medical Receptionist to join their team.
This is a pivotal role within the practice, serving as the primary point of contact for patients while coordinating consultations, theatre bookings, hospital communication, and medical aid authorisations. The successful candidate will provide comprehensive administrative and personal support to the Specialist Surgeon and ensure the smooth daily operation of the practice.
Key Responsibilities
Patient & Reception Management
- Warmly welcome and assist patients
- Manage incoming calls, emails, and appointment queries
- Register new patients and update patient information accurately
- Provide pre- and post-operative instructions as directed
- Manage patient flow and communicate delays professionally
- Maintain strict confidentiality and POPIA compliance
Diary & Appointment Coordination
- Schedule and manage consultation appointments
- Optimise and maintain the surgeon’s consulting diary
- Coordinate follow-ups and post-operative appointments
- Manage urgent bookings and waiting lists
- Minimise no-shows through reminders and confirmations
Theatre & Surgical Bookings
- Book theatre lists with relevant hospitals
- Arrange hospital admissions and medical aid pre-authorisations
- Liaise with theatre coordinators and hospital staff
- Confirm equipment and surgical requirements
- Communicate admission details clearly to patients
- Ensure all documentation is complete prior to procedures
Medical Aid & Billing Liaison
- Verify medical aid benefits and obtain authorisations
- Submit and track pre-authorisations
- Capture ICD-10 and tariff codes accurately
- Issue invoices, quotations, and receipts
- Liaise with billing companies and medical aids
Administrative & Personal Assistance
- Maintain accurate filing and correspondence systems
- Support practice compliance and reporting
- Coordinate CPD events and professional engagements
- Prepare letters, reports, and medico-legal documentation
- Provide general administrative and diary support to the surgeon
Minimum Requirements
- Grade 12 / Matric
- Previous experience in a medical reception or surgical practice
- Experience with theatre bookings highly advantageous
- Knowledge of medical aid pre-authorisation processes
- Proficiency in Microsoft Office (Word, Outlook, Excel)
- Experience with medical practice software (e.g., Vertex) advantageous
- Strong organisational and multitasking skills
- Ability to work independently and under pressure
- High attention to detail and professionalism
- Own transport and valid driver’s licence
Highly Advantageous
- Experience within a specialist surgical practice
- Understanding of hospital admissions and surgical workflows
- Knowledge of South African medical aid processes
- Basic medical terminology

Remuneration:
