Job Summary
Supports the smooth day-to-day running of a boutique wellness practice and retail environment. This is a client-facing operations role combining scheduling, administration, retail coordination, and in-practice support for services including wellness coaching, Live Blood Analysis, and MedWaveâ„¢ Narrow Light Therapy.
The role is responsible for managing bookings, calendars, reminders, cancellations, and practitioner availability using online systems, Outlook, and WhatsApp, ensuring sessions run efficiently and on time. The Coordinator assists with preparing therapy spaces to agreed hygiene, comfort, and privacy standards, supports pre- and post-session administration, welcomes clients, explains procedures clearly and professionally, and maintains client dignity, comfort, and confidentiality at all times.
Retail responsibilities include receiving and capturing stock deliveries, supporting regular stock takes, maintaining inventory accuracy, assisting with basic POS and inventory system queries, and providing retail floor cover when required. Financial and administrative duties include tracking client accounts, following up on overdue payments in a professional and respectful manner, maintaining accurate records, and escalating sensitive matters appropriately. The role also supports marketing and communication tasks, including maintaining client information in email systems, assisting with newsletters and promotions, supporting simple content creation, and working closely.
