Job Summary
Job Purpose: To manage and maintain the company’s accounts receivable ledger, ensuring timely collection of outstanding guest and corporate accounts, accurate recording of revenue transactions, and adherence to the group’s financial and credit control policies. The Accounts Receivable Controller plays a key role in safeguarding cash flow by managing billing accuracy, debt follow-up, and reconciliation across all hospitality properties within the group. Key Responsibilities: 1. Billing and Invoicing · Generate and issue invoices for all guest, corporate, and third-party accounts in accordance with group policy. · Verify accuracy of billing details received from properties (room charges, FCB, functions, spa, etc.). · Process credit notes and adjustments with proper authorisation. · Ensure timely posting of invoices to the accounting system. 2. Credit Control and Collections · Monitor accounts receivable ageing and follow up on overdue accounts. · Communicate with clients and corporate accounts to resolve billing or payment disputes. · Implement and enforce group credit policies and terms of payment. · Escalate delinquent accounts to management in line with escalation procedures. · Liaise with General Managers and Reservations teams on pre-payment, deposits, and credit approvals. 3. Reconciliation and Reporting · Perform monthly reconciliation of AR sub-ledgers with the general ledger. · Reconcile property-level income statements with central accounts. · Prepare monthly AR ageing reports, debtors analyses, and collection forecasts. · Track and report on cash receipts, revenue trends, and bad debt provisions. 4. Internal Controls and Compliance · Ensure compliance with the group’s financial policies, internal control standards; and statutory requirements. · Support the Finance team during audits by providing documentation and reconciliations. · Safeguard confidential financial and client information. 5. Coordination and Support · Work closely with property accountants, front office teams, and reservations to ensure accurate revenue recognition. · Provide guidance and training to property staff on billing and AR procedures. · Support process improvements to streamline revenue and collections operations. Key Competencies and Attributes: · Strong attention to detail and numerical accuracy. · Excellent communication and negotiation skills. · High degree of integrity and professionalism. · Ability to manage multiple accounts and deadlines. · Proficiency in hospitality PMS and accounting software (e.g., Opera PMS, Pastel Accounting, or equivalent). · Strong Excel and reporting skills. Qualifications and Experience: · Diploma or Degree in Accounting, Finance, or related field. · Minimum 3–5 years’ experience in Accounts Receivable or Debtors role; preferably in the hospitality industry. · Experience managing group-level AR across multiple entities or properties advantageous. · Knowledge of VAT and credit control practices.
