We are looking for a hands-on and highly organised Fleet Controller to take responsibility for the day-to-day coordination, maintenance, compliance and operational support of a busy fleet of trucks, light motor vehicles, plant and equipment.
This is a fast-paced role that requires someone who can think on their feet, communicate confidently with drivers and suppliers, solve problems quickly and keep the fleet moving. The successful candidate will work closely with the Fleet Manager, drivers, mechanics, suppliers, tracking team and other internal departments.
Key Responsibilities
Fleet Maintenance & Servicing
Plan and coordinate servicing and maintenance of trucks, light motor vehicles, plant and equipment.
Monitor vehicle mileages and maintain accurate fleet records and spreadsheets.
Schedule services, repairs, COFs and planned maintenance with suppliers.
Coordinate the movement of vehicles to and from suppliers, including arranging driver transport where required.
Ensure identified repairs and maintenance are followed up and completed timeously.
Breakdowns & Roadside Assistance
Coordinate all on-road breakdowns during and after working hours, including mechanical failures, tyre punctures, accidents and towing requirements.
Liaise with suppliers, drivers, dispatch and mechanics to ensure breakdowns are attended to promptly and efficiently.
Source the most appropriate and cost-effective assistance while maintaining service levels.
Ensure no breakdown or roadside incident is left unattended.
Supplier & Relationship Management
Build and maintain strong working relationships with fleet suppliers and service providers.
Monitor supplier service levels and address any concerns with the relevant parties.
Meet with suppliers regularly to ensure service standards are maintained.
Identify alternative/new suppliers when required by the Fleet Manager.
Fleet Compliance & Licensing
Ensure all PTA fleet licensing is current and licence discs are valid.
Monitor vehicles due for licence renewal and coordinate roadworthy tests and renewals.
Ensure licence discs are received and fitted to vehicles.
Coordinate the renewal of cross-border permits for trucks and light motor vehicles.
Tracking & Driver Management
Ensure all vehicles are actively tracking on the relevant tracking systems, working closely with the tracking team.
The tracking team will report into this position.
Conduct driver interviews when required.
Coordinate driving assessments and work with HR on required criminal checks and related documentation.
Fleet Reporting & Investigations
Compile daily, weekly and monthly fleet reports as required, including:
Vehicle downtime
Mileage
Fuel consumption
Maintenance and repair activity
Investigate unreported vehicle damage both on-site and on the road.
Work closely with the CCTV team to establish where and when damage occurred and identify responsibility where possible.
Fleet Stock & Equipment
Conduct regular stocktakes of fleet spares, locks, tools and other consumables.
Maintain adequate stock of items such as electrical fittings, bulbs, lenses, fuel caps and related spares.
Ensure loaded trucks are appropriately secured and locked before leaving the premises.
Fuel Management
Manage the on-site fuel dispensing system.
Monitor the diesel tanks and bowsers and report any faults or issues.
Ensure the fuel dispensing process is accurately managed.
Monitor and account for all fleet fuel cards and ensure cards are functional and unblocked when required for long-distance trips.
Plant & Equipment
Conduct weekly physical inspections of plant and equipment on the PTA premises.
Identify, record and report any faults or maintenance requirements.
Administration & Operational Support
Assist the Fleet Manager with general fleet administration and operational tasks.
Ensure supplier quotations are obtained and approved where required.
Follow up on invoices and ensure all supporting documentation is supplied for processing.
Maintain accurate fleet records and documentation.
Basic Vehicle Repairs
Carry out minor, straightforward repairs where appropriate, such as replacing bulbs, number plate holders, light lenses and tyres on light motor vehicles.
Identify opportunities to resolve minor issues in-house, saving time and unnecessary external repair costs.

Comfortable working with spreadsheets and fleet management systems.
Proactive in identifying potential issues before they become operational problems.
Mechanically minded, with the ability to carry out basic vehicle repairs being advantageous.
Willing to work outside normal office hours when breakdowns or fleet emergencies require assistance.
