Debtors & Leasing Administrator (Student Accommodation) | Pretoria
Hire Resolve is seeking a highly organized Debtors & Leasing Administrator to manage the administrative and financial lifecycle of student tenancies. This role is essential for maintaining accurate occupancy records, ensuring timely billing, and providing exceptional service to students within a high-volume residential environment.
Key Performance Areas:
Lease Administration: Manage the end-to-end leasing process, ensuring all documentation (Lease Agreements, FICA/ID, Consent Forms, and Room Inspections) is meticulously filed and accurate.
System Management: Capture and maintain all lease data on the MDA accounting system. Perform monthly rent rolls and generate accurate billing statements by the 25th of every month.
Collections & Receipting: Upload daily receipts onto the accounting system and proactively follow up on outstanding rentals, electricity, and maintenance charges.
Occupancy Oversight: Prepare and verify monthly leasing schedules against actual occupancy and biometric access data to ensure 100% data integrity.
Tenant Relations: Act as the primary point of contact for student queries regarding rent, Wi-Fi, and maintenance. Manage the "vacate" process, including deposit refunds and room keys.
Compliance: Enforce house rules and assist with disciplinary procedures or tenant exits to maintain a safe and orderly living environment.
Requirements:
Systems: Proven experience using MDA property management software is highly advantageous.
Industry Knowledge: Previous experience in Student Accommodation or Residential Property administration is a significant plus.
Technical Skills: Strong proficiency in MS Office (Excel, Word, and Outlook).
Attributes: High levels of honesty and accuracy, exceptional phone etiquette, and the ability to handle student/parent interactions with courtesy and respect.
Integrity: A clean record of financial responsibility (handling of tenant accounts).
