Job Summary: Junk Mail Marketplaces is seeking an organised, detail-oriented, and proactive Administrative Assistant to provide essential support to our finance department. The ideal candidate will have proven experience working within a finance environment, possess knowledge of Pastel accounting software, demonstrate proficiency in Microsoft Excel, and have the capability to effectively step in and handle Debtors (Accounts Receivable) and Creditors (Accounts Payable) functions. Key Responsibilities: · Provide comprehensive administrative support to the Financial Manager. · Utilise Pastel accounting software for data entry, record maintenance, and potentially generating basic reports as directed. · Leverage Microsoft Excel skills to create, maintain, and analyse spreadsheets, generate reports, and manage financial data effectively. · Assist with the preparation of financial reports. · Maintain organised and accurate filing systems (digitally) for financial records, invoices, and other relevant documents. · Handle Debtors and Creditors duties, including: o Processing supplier invoices and reconciliations. o Generating customer invoices, sending statements, reconciliations, and assisting with collections and internal control records. · Handling basic debtor and creditor inquiries professionally. · Handle financial information with the utmost discretion, confidentiality, and integrity. · Perform general office administrative tasks as required. · Assist with ad-hoc projects and tasks as required by the Financial Manager. Required Qualifications and Skills: · Proven experience as an Administrative Assistant, specifically within a finance department or a role with significant financial administration duties. · Demonstrable working knowledge of Pastel accounting software. · Proficiency in Microsoft Excel, including formulas and creating clear, well-formatted spreadsheets. · Solid understanding of basic accounting principles and procedures related to Debtors (AR) and Creditors (AP). · Proven capability in performing key tasks of a Debtors/Creditors Clerk. · Organisational skills with meticulous attention to detail and accuracy. · Excellent time-management skills with the ability to prioritise tasks effectively and meet deadlines. · Strong written and verbal communication skills. · Ability to work independently with minimal supervision and collaboratively as part of a team.
