Job Summary
The Payroll Administrator will be responsible for the full payroll administration function for multiple clients, ensuring accurate payroll processing, statutory compliance, and effective client communication. The role requires strong working knowledge of South African payroll legislation, SARS submissions, and payroll systems, with particular experience using VIP Payroll.
Key Duties and Responsibilities
Payroll Processing
- Process monthly payrolls using the VIP Payroll system
- Liaise with clients regarding monthly payroll changes and updates
- Issue accurate and timeous payslips
- Prepare and submit EMP201 returns and forward payment schedules to clients for approval
- Submit UIF declarations to the Department of Labour
- Follow up with clients to ensure timely statutory payments and avoid penalties
- Respond to SARS payroll-related queries and correspondence
IRP5 and Payroll Reconciliations
- Issue IRP5 certificates to employees
- Prepare and submit EMP501 reconciliations via e@syFile
- Manage SARS queries related to IRP5 and payroll reconciliations
Client Communication and Compliance
- Communicate professionally with clients regarding payroll queries and requirements
- Ensure strict adherence to all payroll and statutory deadlines (SARS, Department of Labour, UIF)
- Maintain accurate payroll records and supporting documentation
- Manage multiple client deadlines simultaneously with a high level of organisation
WCA / ROE Submissions
- Prepare and submit WCA / ROE returns and supporting documentation
- Liaise with the Department of Labour where required
Qualifications and Experience
- Minimum of 3 years’ payroll administration experience
- Proven experience working with VIP Payroll
- Strong knowledge of South African payroll legislation and statutory compliance
- Experience submitting EMP201, EMP501, IRP5, UIF, and WCA / ROE returns
- Experience managing payroll for multiple clients (advantageous)
