Job Summary
Job Purpose
To provide comprehensive administrative, organizational, and personal support to the director, ensuring their daily schedule, communications, and personal affairs run smoothly and efficiently.
Key Responsibilities
Administrative Support
- Manage and maintain the employer's calendar, scheduling appointments and meetings
- Handle incoming calls, emails, and correspondence on behalf of the employer
- Organize and maintain filing systems (digital and physical)
- Prepare documents, reports, and presentations as required
- Take minutes at meetings when needed
Travel & Logistics
- Arrange travel when required
- Prepare detailed itineraries for trips and meetings
Communication & Liaison
- Act as the first point of contact between the employer and clients, colleagues, or family members
- Screen and prioritize communications
- Draft correspondence on behalf of the employer
Financial Administration
- Process expense claims
- Liaise with accountants or financial advisors as needed
- Excellent organizational and time-management skills
- Strong written and verbal communication skills
- High level of discretion and confidentiality
- Proficiency in office software (Microsoft Office, Google Workspace, or similar)
- Ability to multitask and prioritize under pressure
- Strong problem-solving abilities
- Attention to detail
- Experience in an administrative, PA, or EA role
- Valid driver's license (if travel/errands required)
