FACILITIES MANAGER: Iconic Luxury Estate (Stellenbosch Wine Route) Our esteemed client, an iconic luxury estate nestled in the heart of the Stellenbosch Wine Route, has garnered acclaim for its exceptional unparalleled experiences. We are seeking an experienced Facilities Manager to join their team. THE ROLE: The Facilities Manager oversees and manages the security and maintenance staff to ensure our client’s buildings and grounds are clean and safe. All aspects are overseen of building functions and guarantee the safety and functionality of all facilities. Duties include running routine safety inspections, corresponding with contractors, planning maintenance work, maintaining records, and supervising facilities staff, and exhibiting high multitasking and organizational abilities. The Facilities Manager reports directly to the Managing Director. CORE RESPONSIBILITIES: · Oversee maintenance, both preventative, scheduled maintenance, and reactive repairs · Oversee maintenance and machinery/equipment/tool costs · Initiate, manage and cost all new projects. Ensure completion of each project on budget or account for variance · Oversee sustainability from each venue to the estate on a whole ensuring compliance with various bodies. · Implement measures to achieve sustainability compliance · Oversee security on the estate, including security contract, security officer presentability and performance, as well as all CCTV, alarm systems, barrier and electric fence, as well as interviewing of new candidates · Implement and maintain health and safety on the estate to ensure compliance, including risk assessments and incident investigations, food and safety measures. · Oversee housekeeping and the effective management of teams, structures and procedures including stock management, suppliers, costings of stock procurement and transport of staff. Participating in interviewing of supervisors and managers. · Oversee legal exposure of the farm and ensure effective insurance cover for both public liability and asset insurance costings. Ensure all risk and negligence is mitigated as far as possible · Monitor solar and water systems to ensure monitoring devices are active, accurate, and services as well as preventing overspend in the case of leaks/faulty solar systems, etc. · Oversee and manage fire systems on the estate including fire panels, firefighting equipment, monitoring devices, hydrants and sprinklers. Conduct yearly services and weekly/monthly audits · Conduct and manage ongoing OHS, fire, medical and incident training. Manage equipment associated and introduce mitigating measures in the case of recurring incidents · Oversee and manage all tech on the farm in conjunction with the IT department, including costings, maintenance, tech improvement where needed, and SLA’s with relevant suppliers · Oversee golf operations including in-range systems, power backups, golf equipment such as carts and maintenance equipment. Monitoring servicing schedules and safety of items used by guests · Ensure ongoing maintenance of the manor house and manage teams working there · Conduct weekly operations/facilities meetings and ad hoc meetings to address concerns, issues or project feedback · Monitor the frequency of items replacement due to age, longevity, or faults, and either implement SOPs to extend lifespan and prevent ill treatment or adjust suppliers/solutions to address cost-saving measures to all physical objects and systems on the estate · Ensure guarantees on systems, items, and structures on the estate are monitored and called upon when needed. Ensure suppliers/manufacturers are held responsible · Improve systems and workflow across the estate in terms of efficiency and ease of use. Implement time-saving measures related to cost · Manage and monitor estates infrastructure Duties under Vehicles: · Manage all directors, estate and classic vehicles · Ensure yearly/mileage-based services are conducted as per required schedules · Attend repairs when required · Ensure classic cars are driven periodically · Update insurance yearly on vehicle values · Ensure all vehicles are licensed annually · Oversee weekly checks on all vehicles and ensure reliability, functionality, and safety · Manage sales and procurement of new vehicles and advise directors on replacement recommendations QUALIFICATION / KNOWLEDGE / EXPERIENCE: · Formal tertiary qualification in facilities / engineering / business management or related field essential · Minimum of 5 years of Facilities / Maintenance Manager experience, within a luxury hospitality environment preferred · Recognised certifications for Health and Safety · SANS knowledge (Building Regulations and Fire Detection) · Valid driver’s license · Planning, process excellence and service delivery · Experience with CAPEX & Operational budgeting · Experience with preventative maintenance planning and execution · Focused on quality and attention to detail with innovation ideas to bring about change and results · Teamwork, cross organisational collaboration and building high performance teams · Strong ability to managing a large team Email your updated CV and Motivation to Zelda Only candidates with relevant experience and position requirements will be shortlisted and contacted.
